    The most common and the most debated: the price depends on the fabric, on whether the padding is redone or kept, on collection from home. The client usually wants to see more than one proposal.

    CRM for upholsterers: re-covering sofas and armchairs from collection to return

    In upholstery, money gets lost in three specific places, hardly ever at the bench. RegiaPro’s CRM keeps them in front of you.

    The sofa price given over the phone

    “Roughly nine hundred” turns into an argument when the balance is due. In RegiaPro the figure you gave the client comes out as a PDF quote from their record, with the fabric and the work written in the note. If the client doesn’t reply, the record comes back among the people to contact three days after sending, then at seven, fourteen and thirty days.

    An armchair that’s been waiting for its fabric for a month, and the client calling to ask how it’s going. Once the job is confirmed, the return date sits in the calendar linked to Google or iCloud; whatever has to happen before, like “chase the supplier for the velvet”, you write in the important note and it reaches you as a reminder seven days before that date.

    Collecting a sofa from a third floor and bringing it back costs time and diesel. On the record you enter the client’s town or address and RegiaPro works out the round-trip travel with your mileage and hourly costs; in the Report it goes among the year’s costs, next to collaborators and out-of-pocket costs.

    Re-covering a sofa in the software: three fabrics, three quotes, one choice

    How much does it cost to re-cover a sofa? It depends on the fabric, which is why it pays to show the client the alternatives on paper. Let’s follow a three-seater sofa in RegiaPro. The case is invented: the client, the dates and the prices don’t come from any upholsterer’s workshop.

    1. Photos of Paola’s sofa arrive on WhatsApp

      On 5 September Paola writes on WhatsApp: she has a three-seater sofa with sagging cushions and sends four photos. You open her record with “word of mouth” as the source and attach the photos she sent you. In the notes: three-seater sofa with two seat cushions and three back cushions, rounded arms, seat foam to replace.

    2. The performance fabric chosen and Paola’s advance

      On 12 September Paola chooses the performance fabric. You set the record amount to €910 and, from the Pro plan, print the workshop contract: in the template you wrote that cut fabric can’t be returned and that finished pieces must be collected within thirty days. RegiaPro fills in name, date, total, advance and balance. Paola signs and leaves €300 by debit card: you record the deposit and set the record to “Confirmed”, with 10 October as the return date.

    3. Collecting the sofa

      On the record you enter Paola’s town, and the round-trip travel works itself out: €24 in kilometres, diesel and time, based on the costs you’ve set. On 16 September you load the sofa into the van and attach a photo of the already scratched arm, so the scratch is documented before the work.

    4. Eleven metres of fabric and new foam

      Eleven metres of fabric and the new foam cost you €350: they go under the sofa’s out-of-pocket costs, with the note “performance fabric and foam, Paola’s sofa”. The cushion covers are sewn by an outside seamstress: on the record, her name and €80. In the important note you write “check the cushion zips”: the reminder appears on 3 October.

    5. The sofa goes back to Paola’s home

      On 8 October the sofa is ready. From the record you open WhatsApp with the message you’ve prepared to arrange the return and add the time. On 10 October you take it back to Paola’s home, and she pays the €610 balance by bank transfer. From Pro you issue the €910 invoice, with the next number of the year.

    Price €910: €300 advance and €610 balance. Outgoings recorded on the job: €350 in materials, €80 for outside sewing, €24 in travel. Working it out with the figures on the record, €456 is left to the workshop, before tax and the hours spent stripping and re-covering. Documents: three quotes, one contract, one invoice.

    On 9 September Paola drops into the workshop to look at the sample book and narrows the choice to three fabrics. For each fabric you update the figure on Paola’s record and generate a quote: RegiaPro gives each one its own number and keeps them all, so Paola can compare them calmly at home.

    Sofa fabrics: sample book, codes and metres on the client record

    Fabric is the decision clients come back to most often, and the detail most easily lost between the sample book and the order to the supplier. In RegiaPro it stays written where you look for it.

    You work out the metres needed yourself, as always, and write them in the notes together with the direction of the pattern or the cord. When you order the fabric, you know how much you’d planned for.

    It happens with people who bought a furnishing fabric elsewhere. In the notes you write how many metres they gave you and in what condition; in the contract you can state that the finish depends on the fabric supplied.

    When the roll arrives in the workshop

    The message “the fabric has arrived, we can come and collect the sofa” you keep among your WhatsApp texts. From the client’s record it opens ready-written and you send it yourself when the roll is on the bench.

    How much the fabric for that sofa cost

    The price paid to the supplier for that sofa goes under the record’s out-of-pocket costs. Read next to the price of the sofa, it tells you straight away whether a very expensive fabric left you the margin you expected; in the Report it goes into the month’s costs.

    Chair upholstery and armchair re-covering: many pieces, one account

    Chairs almost always arrive in groups, armchairs almost always on their own. Two different ways of filling the workshop, which in RegiaPro you follow with the same record.

    Twelve chairs from a trattoria

    A single record: on the record the price for all twelve, in the quote note the work per chair and the fabric chosen. The invoice is wanted by the company that runs the restaurant: in “Who the documents are addressed to” you enter company name, VAT number and recipient code, while the quote stays in the name of the owner you spoke to.

    The restaurant can’t be left without chairs: you collect six at a time. Each batch returned can become a balance instalment, recorded with its date, and on the record you see how much is left for the other six chairs.

    The family armchair

    Before stripping it you attach photos of how it arrived, from the front, the side and under the seat. In the notes you write what you found when you opened it: springs to re-tie, webbing to replace, a broken slat. If the job grows, you prepare a second quote with the new figure and the first stays as a reference.

    Made-to-measure and Roman blinds: measurements, fitting and appointment

    Curtains take the upholsterer out of the workshop twice: for the site visit and for the fitting. It’s the job where accurate measurements and turning up on time matter most.

    In the record notes, the measurements of every window, the type of fixing, the distance from the ceiling; among the attachments, photos of the windows with the tape measure against them. The client’s town is also used to work out the travel.

    On the record the total; in the quote note each window with its system: linen Roman blind in the kitchen, gathered curtains in the living room, iron pole in the bedroom. In the PDF the client reads the overall figure and below it the list room by room.

    On 14 September 2026 we searched for “upholstery software” and read the top pages. There are few results: pages for craft business software built on a template shared by many trades, programs that do e-invoicing and a design and automatic cutting program. None of the pages we read described collecting a sofa or choosing a fabric.

    Upholsterers’ frequently asked questions about business software and CRM

    The client sends me photos of the sofa on WhatsApp: where do I keep them?

    You save them from your phone and attach them to their record, once you’ve created it: images up to 15 MB each. They stay there with the notes and quotes, and you reopen them when you go to collect the piece or when you need to remember in the workshop how it looked.

    Can I do several quotes with different fabrics for the same sofa?

    Yes. For each fabric you change the record amount and prepare a quote with the details in the note. Each one gets its own number and stays archived with its figure; when the client chooses, you set the record amount to the price of the chosen fabric.

    How do I charge for transporting the sofa?

    On the sofa’s record you enter where the client lives: RegiaPro works out round-trip kilometres, time, diesel and tolls with the costs you’ve set in “Settings”. If you hire a van, you add the hire under the out-of-pocket costs of the same job.

    Twelve chairs for a restaurant: one record or twelve?

    A single record with the overall price and the details in the quote note. If you return them in batches, each payment becomes a balance instalment; the invoice, from the Pro plan, can go to the company that runs the restaurant.

    The client brings their own fabric: how do I record it?

    In the record notes you write the metres received, the type of fabric and its condition, and attach a photo of the roll. In the contract template you can add a sentence about the finish of client-supplied fabrics, which will appear in every contract printed.

    How do I let the client know the piece is ready?

    You prepare the return message once among your WhatsApp texts, including a request to confirm the day. When you open it from the sofa’s record, the message appears in WhatsApp with the client’s name already filled in: a quick check and you send it.

    Can I record the time of the curtain fitting?

    Yes. On the record you enter the day and the start and end time of the fitting. When the job is confirmed the appointment goes into the linked calendar, so you see it on your phone together with your other appointments.

    At the end of the month, how do I see how much I still have to collect?

    On each record you’ll find the advance and the instalments recorded, with what’s still due. Adding up all the jobs, RegiaPro shows you how much is still to be collected, and the Report brings together income and costs of the confirmed jobs.
