Bridal shop software: bride, groom, occasionwear and accessories

She tries on five or six dresses, chooses one, it’s ordered from the designer in her size and then altered. The supplier’s delivery times and the number of fittings matter.

CRM for bridal shops: how far ahead to buy the dress, and when to follow up
Many brides visit several boutiques before deciding, and weeks can pass between the first try-on and signing. It’s in this stretch that the CRM earns the boutique money: no interested bride is left without a reply.
Eight, ten, twelve months before the big day
A bride choosing a collection gown has to give the designer time to make it, and the boutique time for alterations. That’s why the question “how far ahead should I buy my wedding dress” has a different answer for every boutique: you write yours once among your WhatsApp texts and send it to whoever asks.
The bride’s record at her first boutique appointment
Name, phone, email, how she found you (Instagram, a wedding fair, a friend married the year before) and the wedding day. In the notes who came with her, the style she’s after, the budget she mentioned, the gowns she tried.
A bride’s statuses
“New” as soon as she writes, “Contacted” while you wait for her to confirm the wedding date, “Quote sent” once she has the quote, “Negotiating” when she comes back to try again, “Confirmed” when she signs. From the job list you see where each one is.
Following up the bride who doesn’t reply to the quote
After the quote, if the bride goes quiet, her record comes back among those to follow up after three days, then seven, fourteen and thirty. When you’re waiting for missing information, with the “Contacted” status the bride comes back on the list on day two, five and ten.

The bride who asks to talk again after the holidays
She replies “let’s talk after the holidays”? Move the record to “Negotiating” and in the follow-up date field put 7 January: the automatic chasers stop and on that day the bride reappears among the people to contact.

Made-to-measure wedding dresses in your business software: one season, month by month
Here is one bride’s season followed in RegiaPro, from October to June. The name, days and amounts are invented for the example: they don’t correspond to any real boutique or bride.
October: the first visit
On 10 October Giulia arrives with her mother. She’s getting married on 19 June and saw a dress with a lace bodice on Instagram. You open her record with source Instagram and 19 June as the date. In the notes you write the three gowns she tried, the neckline she prefers and the budget she mentioned; you attach photos of the gowns she saved on her phone.
November: the quote for the made-to-measure gown
On 7 November Giulia comes back and chooses made-to-measure, with a mikado skirt and an embroidered bodice. On the record you enter €2,600 and prepare the PDF quote. In the note, printed below the total, you write what’s included: design, toile, fabrics, three fittings, pressing and storage until collection, veil excluded. The quote goes out by email and the record moves to “Quote sent”.
December: the veil, the contract and the deposit
Giulia also wants the long tulle veil: the amount rises to €2,850 and a second quote with the next number is created from the same record, while the first stays archived as it was. On 3 December she signs. From the Pro plan you prepare the contract from your template; RegiaPro fills in the name, wedding date, total, deposit and balance. She leaves a €950 deposit by bank transfer, and the record becomes “Confirmed”: 19 June appears in your linked calendar.
March: the second instalment
On 15 March Giulia pays another €950. You log it as the first balance instalment, with date and method. The record shows €950 still due, and the same figure goes into the total the boutique is still owed by its brides.
April and May: the fittings
First fitting on 18 April in the toile, second on 16 May in the gown. Before each one you send from your WhatsApp texts the message with the time and a reminder to bring her wedding shoes. After each fitting, a line in the notes with the alterations and a photo of the back, the view she sees least in the mirror.
June: the final fitting and collection
In the important note you wrote “final fitting with shoes and lingerie”: the reminder appears on 12 June, a week before the wedding. Giulia collects the dress on the 13th and pays the last €950. The invoice, with Pro, covers the whole dress and is made out to whoever pays: in this example her mother, with her details.
Giulia’s season in summary (invented data)
- agreed total €2,850, received in three €950 instalments in December, March and June;
- on the record, the lace and mikado bought specially, €720 under out-of-pocket costs, and the bodice embroidery given to an outside embroiderer, €260;
- after the costs logged on the record, €1,870 is left on that dress, before tax and workroom hours, and in the Report that €980 is added to the year’s costs;
- documents: two quotes, one contract, one invoice, seven photos of gowns and fittings.

Wedding dress fittings: how many you need and what to note after each one
There are usually two or three fittings, and more when the dress is made to measure or the bride’s weight changes in the months before the wedding. What makes a fitting useful is what stays in writing once the bride has left.
Before the fitting: shoes, lingerie and time
The WhatsApp message the day before: time, what to bring (shoes, lingerie, jewellery if she already has it), who can come. You prepare it just once in your message collection, and it opens already filled in from every record.
During the fitting, in front of the fitting room mirror
In the notes: the date, the heel height, the centimetres to take in or let out, the spot where the bodice pulls. Among the attachments, photos from the front, side and back, up to 15 MB each.
After the fitting: the work for the in-house seamstress
What the in-house seamstress has to do before the next appointment, and the date of that appointment. If a fitting can’t be skipped, you write it in the important note and the reminder arrives seven days before the wedding.
Who embroidered the bodice and what it cost
If part of the work leaves the boutique, such as embroidery or pleating, put on the record who did it and what it cost you: in the Report that expense is added to costs and taken off the month’s takings.
Deposit and wedding dress contract: what to put in them
The contract is the page the bride rereads when something changes: the wedding is postponed, she has second thoughts, a different size. In RegiaPro you prepare the template just once in the boutique’s own words; each bride’s details are taken from her record.
Deposit or non-refundable deposit on the wedding dress
In everyday speech they’re used as synonyms, but in Italian law they aren’t, and the difference matters if the wedding is called off. Choose the right word with your adviser and write it in the template: the software will repeat it word for word in every contract.
Gown, size and alterations
Model and designer or description of the made-to-measure gown, size ordered, alterations included in the price, accessories added.
The wedding day and the planned fittings
The wedding day comes from the record’s field. You state the fittings as a forecast, for example “two fittings between April and May”.
If the wedding is moved
What happens to a dress already ordered, how much notice the bride must give, how long the boutique stores the finished dress.
The bride’s signature in the boutique
From the Pro plan the contract comes out as a PDF with name, date, total, deposit and balance already filled in. It’s signed by hand in the boutique on the day of the deposit, or you open it from the record, forward it to the bride and she brings it back signed; you attach the scan to her record.
How much a wedding dress costs: the quote the bride takes home
Almost every bride arrives with this question, and almost every bride compares several boutiques. The quote that wins is the one that still makes sense reread at home two weeks later, with her mother.
The price of the dress and, below, what it includes
On the record you put the price of the dress and in the quote note you explain everything it includes: alterations, fittings, pressing, storage, accessories chosen. The PDF has your logo and a clearly visible total.
Two wedding dresses in the running
If the bride is torn between two gowns, make two quotes from the same record. Each has its own sequential number, and you always know which figure you gave her for which dress.
VAT on the wedding dress quote
If you charge it, RegiaPro works it out from the agreed price, so the bride reads on the PDF the same figure you told her in the shop. On Italy’s flat-rate tax scheme the quote comes out without it.
When the bride has the quote in her hands
The quote goes out by email from the record. If the bride disappears, the software reminds you; if she replies “I need to think about it until February”, you set her to “Negotiating” and choose the follow-up date yourself.
Bridal shop software: fashion retail program or CRM?
On 14 September 2026 we read the top results for the Italian searches for “bridal shop software” and “bridal boutique management software”. Alongside a few boutique websites, three kinds of program come up: specialist software for bridal and occasionwear, programs for fashion shops and brands, and software where “Atelier” is the product name. None of the pages we read mentioned deposits split into instalments with a running balance.

FAQ on bridal shop software and CRM
Do I put the wedding date or the collection date on the record?
The record has a single date and in a bridal boutique it’s best used for the wedding: the calendar shows your brides’ Saturdays, and whatever you write in the important note is flagged a week before the wedding. You write the planned collection in the notes or right in the important note.
How do I see how many brides I have on the same weekend?
Confirmed brides appear in the calendar on their wedding day. If you connect Google Calendar or iCloud you see them on your phone too, and if you move a date there, a few minutes later it changes on the RegiaPro record as well.
The bride wants to pay in three instalments: how do I log it?
The first payment is the deposit, with date and method; you add the others as balance instalments as they come in. The record tells you what’s still due, and the total across all brides tells you how much the boutique is still owed.
Can the contract be signed remotely?
Open the PDF from the record, save it and forward it to the bride however you like; she prints it, signs it and brings it back at the next fitting, or sends you a scan. You attach the signed file to her record, next to the contract you prepared.
The bride’s mother is paying: can I make the invoice out to her?
Yes. In “Who the documents are addressed to” you enter the details of whoever pays, even if it isn’t the bride. The quote and contract stay in the name of the bride who contacted you, while the invoice goes to the person you’ve entered.
How do I remind the bride what to bring to the fitting?
Write the message once among your WhatsApp texts, with the list of things to bring. From the record WhatsApp opens with the text already in place: add the day and time and send it yourself.
Can I keep the fitting photos?
Yes, as record attachments: JPG and PNG images, PDF and Word documents, with a 15 MB limit per file. You’ll find them at the next fitting, on your phone too, without hunting through your phone’s photo gallery.
How do I follow up a bride who hasn’t decided yet?
Until she replies to the quote she stays on “Quote sent”, and the software brings her back among those to call. If she replies but needs time, move her to “Negotiating” and choose the follow-up date yourself: the record reappears on that day.
