Bespoke shirt maker software: workroom, shop and repeat orders

The follow-up when the linens and flannels arrive
When the summer linens or winter flannels arrive, the clients to tell are the ones you’ve already dressed. For each one you open the next order’s record in advance, leave it on “New” and give it a follow-up date: on that day it reappears among the people to contact, and the text of the message is already saved among your WhatsApp ones.

Where the clients who order shirts come from
Every record has its source: shop window, Instagram, word of mouth, the website. The Report matches sources with payments received and shows you which channel brings the clients who actually order.
A made-to-measure shirt in the software: first a trial one, then the other five
Here is how a new client becomes a regular, followed in RegiaPro with two records. Name, dates, cloths and prices are invented: they’re an example, not any shirt maker’s price list.

First record: the trial shirt
On 14 January Andrea walks in; until now he’s bought off-the-peg shirts and always finds the sleeves short. You open the record with source “shop window” and take his measurements: you write them in the notes, or photograph the sheet and attach it as soon as the record is saved. You agree a trial shirt in white poplin, cutaway collar, one-button cuff, €130. The record’s date is the collection, 4 February.

The trial shirt quote, and the deposit
The PDF quote comes out of the record with the shop’s logo at the top. In the note you write cloth and code, collar type, cuff, no pocket, no initials. Andrea accepts straight away and leaves €50: you log it as a deposit and set the record to “Confirmed”. On 4 February it appears in the calendar linked to Google or iCloud.

4 February: the real test is the wash
Andrea collects, pays the €80 balance and leaves with the advice to wash it twice before judging it. In the record’s notes you add the date and the memo “comes back after washing”. Then you already open a second record for the shirts to come: you leave it on “New” and give it a follow-up date of 25 February.

25 February: the return and the adjustments
Andrea’s second record reappears among the people to contact; you send him a message from your WhatsApp texts and he comes in on the 27th. The collar is half a centimetre tight after washing and the left cuff needs widening: you note the adjustments with the date, so they stay attached to the original measurements.

The same day Andrea orders five shirts: two white, one light blue oxford, one fine stripe, one linen for summer, all with the corrected collar and the initials “A.R.” on the left cuff. On the second record, the one opened on 4 February, you set collection for 10 April, copy the updated measurements from the first and enter the agreed price, €620.

The quote for Andrea’s five shirts
The PDF shows the €620 total; in the note you list the five shirts with each one’s cloth and code, collar, cuff and position of the initials. Andrea receives it by email and confirms the same day. With the Pro plan there’s also the contract: in the shop’s template it’s titled “Shirt order” and states that cut cloth can’t be returned; name, date, total, deposit and balance appear in place already filled in. Andrea signs and leaves a €250 deposit.

During making: embroidered initials and cloths
The initials are embroidered by an outside embroiderer: on the record you write her name and €40. You bought the five cloths by the metre for €190, and you put them under out-of-pocket costs with the note “cloths order A.R.”. In the important note you write “check initials on all cuffs”: the reminder arrives on 3 April, a week before collection.

The shirts are ready on the 8th. From the record WhatsApp opens with the collection message already written and you send it. Andrea comes in on the 10th and pays the €370 balance. With Pro, you issue the invoice on the full order of five shirts.

Shirt measurements: where to keep them so they’re still good next year
A shirt maker lives on accurate, up-to-date measurements. In RegiaPro they don’t sit on a card that gets lost: they’re on the record of every order, ready to copy when the client comes back.
Collar, chest, sleeves and cuffs: the starting measurements
Collar, chest, waist, hips, shirt and sleeve length, right and left wrist, shoulders: you write them in the notes in the same order every time, so you can read them all at a glance. If you prefer your own printed sheet, photograph it and attach it.
Adjustments after washing the trial shirt
Every adjustment goes with its date: “27 February, collar +0.5 after washing”. When the next order starts on a new record, you carry over the corrected measurements and a line on how you got there.
When the client changes size or shirt style
Someone loses or puts on weight, someone changes job and goes from a tie to an open collar. At the next visit you reread the last order’s notes on your phone, before you even pick up the tape measure.

Initials, collars and cloths: the details in the order note
These are the details that make a made-to-measure shirt recognisable, and also the easiest to get wrong when the order is six different shirts. In RegiaPro they go in the quote note, which the client reads and approves before cutting.
Embroidered initials
Letters, with or without full stops, typeface, thread colour, position: pocket, cuff, side below the last button. Written in the note, the client confirms them before the embroidery starts.
Cutaway, button-down, mandarin: collar types
Classic, cutaway, button-down, mandarin, two-button high collar: the note carries the collar name and, if the shop uses its own codes, the code too, so the seamstress reads the same thing as the client.
One-button, two-button or French cuffs
One-button, two-button, rounded, French cuffs for cufflinks. In a mixed order it’s best to write the cuff shirt by shirt, next to the cloth.
Shirting cloths
Poplin, oxford, twill, linen, flannel: the supplier’s name and the swatch code in the note, a photo of the swatch among the attachments. The cost of cloth bought for that order goes under out-of-pocket costs.
How the shirt quote looks to the client
A PDF with your logo, the client’s name, the total highlighted and below it, in the note, the list of shirts. If the order changes, you prepare a new quote with its own number and the old one stays as it was.

Made-to-measure shirts, prices and quotes: the price per shirt and for the order
People who walk into a shirt shop first want to know how much a made-to-measure shirt costs. People placing an order, on the other hand, need to see the bill for the whole order in writing.
The starting price for each shirt
You keep your starting prices, by cloth or cloth range, in a ready-made WhatsApp message. You send them to anyone asking from their record, in the shop’s own words.
The bill for the shirt order
On the record you enter the agreed total; the quote note explains how you get there, shirt by shirt. With VAT, RegiaPro separates it out from the total quoted at the counter; under Italy’s flat-rate scheme the document comes out without it.
Embroidered shirts for a company’s staff
A hotel dressing its staff, an office giving shirts with its logo: in “Who to address documents to” you enter the company with VAT number, recipient code or certified email (PEC). The quote stays with the person you spoke to, the invoice goes to the company.
The sheet to sign before cutting the cloth
From the Pro plan the contract comes out of your template with the order details already filled in. Some conditions worth including: cut cloth can’t be returned, a trial shirt is compulsory for new clients, delivery times are approximate, shirts not collected after a set period.
Shirt maker software: fashion software, configurator or CRM?
On 14 September 2026 we searched “gestionale camiceria” (shirt shop software) and “software camicie su misura” (made-to-measure shirt software) and opened the top results. The first search mostly brought up programs for clothing companies and shops; the second, configurators and pattern-making programs. None of them talked about deposits or following up clients who reorder.

FAQ on shirt maker software and CRM
How do I find the measurements of a client who reorders after a year?
Search by name or phone number and open their last order: the notes hold the measurements and dated adjustments, the attachments hold the photos. You create the new order’s record and copy over the valid measurements, updating only the ones that changed.
Can I put different shirts in the same quote?
Yes. On the record you enter the order’s total price and in the quote note you write each shirt with cloth, collar, cuff and initials. The PDF shows the total with the full list below, so the client checks the details before cutting.
How do I let clients know when new cloths arrive?
For each client to tell, open the next order’s record, left on “New”, with a follow-up date, for example when the linens arrive. On that day it reappears among the people to contact, and from each record WhatsApp opens with the message you prepared; you send it yourself, one by one.
How do I record the trial shirt and the adjustments?
The trial shirt has its own record, with measurements, cloth and price. After washing you note the adjustments with the date and, if needed, attach photos. When the client orders the other shirts, you open a new record and carry over the corrected measurements.
Shirts for a company’s employees: who gets the invoice?
The company. In the “Who to address documents to” section you enter the company name, VAT number, recipient code or certified email (PEC). The quote and contract stay addressed to the person who handled the order for the company.
The client leaves a deposit and pays the rest in two goes: how do I log it?
The upfront payment is the record’s deposit, with date and method; you log the rest as balance instalments, one for each payment. The record shows what’s still owed, and the total across all open orders tells you how much is still to come in.
Can I see what I keep on an order, after the cloth?
Yes. The cost of cloth bought specially goes under the record’s out-of-pocket costs, with a note; embroidery or buttonholes done outside go in the collaborator field. On the record you have price and costs side by side, so the sum is instant; in the Report cloth and embroidery go into the shop’s outgoings, split by month.
A client messages me on Instagram for an appointment: how do I log it?
While you reply you create their record: name, number and, as the source, “Instagram”; and in the notes you write what they’re after: work shirts, a shirt for a ceremony, a cloth seen in a photo. The Report will count how many confirmed orders and how much in payments come from social media.
