Social media manager proposal: a restaurant followed step by step
How do you put together a social media manager proposal, and what happens once it’s sent? Let’s follow one client in RegiaPro, from enquiry to invoice. The restaurant, the people and the amounts are fictional.
The case: Osteria del Ponte
On 7 September Marta Bassi, who runs Osteria del Ponte with her brother, messages you on Instagram. She wants more weekday bookings, has a neglected Instagram profile and a Facebook page untouched for a year, and asks what it costs to have them handled from October to December.

The restaurant’s record and the video call with Marta
You create the record with Marta as the contact, her phone and email, and “Instagram” as the source. As the date you pick the day of the shoot that will kick off the work, Tuesday 29 September. In the notes you put what comes out of the video call on 8 September: local customers, signature dishes, advertising budget kept separate, “my brother approves the posts”.

A 12-post package and a lighter package in the proposal
On 10 September you prepare the quote for three months: €1,350, that is €450 a month for 12 posts, 16 stories, replies to comments on weekdays and a report at the end of each month. In the PDF the total takes one line; channels, number of posts and ads paid separately you explain in the note that closes the document. On 11 September Marta asks for a lighter version: you come down to €990, that is €330 a month with 8 posts and no stories, and create a second quote with a different number, while the first stays untouched.

On 15 September Marta chooses the full package. On 22 September the first monthly payment arrives, €450, by bank transfer: you record it as the deposit with its date and move the record to “Confirmed”. You split the €900 balance into two instalments of €450, due on 1 November and 1 December.

On the confirmed record you add the time of the shoot, from 3pm to 6pm. In the important note you write “get the autumn menu sent over”: RegiaPro turns it into a reminder for 22 September, a week before the shoot.

The outside photographer costs €200: you enter them as a collaborator on the record. Under out-of-pocket costs you note the props for the photos, placemats and flowers, €45. At the end of October, from your WhatsApp texts, you open the message that goes with the first report and send it to Marta.

How much does a social media manager cost: price list and packages in the proposal
“How much does a social media manager cost” is one of the most searched questions in the trade. In the three guides read on 14 September 2026, chosen from those at the top of Google, the figures ranged from €120 a month for the smallest package to €800 a month as a starting point for full management. How do I prepare a social media manager proposal in RegiaPro?
On the client’s record you enter the total for the period, and in the quote note you list channels, posts, stories, reports and what the client covers, such as ads. The numbered PDF carries your logo and the full note, and you send it by email from the record.
Can I offer two packages to the same client?
Yes: you tweak the figure and the note and prepare a second one on the brand’s record. The number changes, the first document isn’t touched, and you always know which proposal the owner has in front of them.
How do I record a monthly retainer paid by bank transfer?
You mark the first monthly payment as the deposit, with date and method; the following ones become instalments with their expected date. You tick them off as they arrive, and on the record you read how much that brand still owes, while the total tells you how much you’re waiting for from everyone.
Who do I invoice if I work with the marketing manager?
The manager stays the record’s contact; you link the company as the billing party, with its tax details and SDI code or PEC certified email. From the Pro plan the invoice goes to the company, and if details are missing RegiaPro tells you before issuing it.
Where do I keep the client’s briefs, palettes and materials?
On the brand’s record: briefs in PDF or Word, palettes and logos in PNG or JPG, each up to 15 MB. In the notes you write the tone of voice, the agreed posting times and who approves the content.
How do I record an outside photographer or videographer?
You add the photographer or videographer to the record as collaborators, with what they’re owed; small purchases made for that brand go under out-of-pocket costs. In the Report these figures reduce what you collected, and the month’s result reflects what you really spent.
Can I see shoots in my phone’s calendar?
Yes, if you link Google Calendar or iCloud: confirmed shoots, with their times, appear in your phone’s calendar, and a change made there comes back into RegiaPro within a few minutes. Meetings entered only on your phone come in as appointments to review.
How do I start with the clients I already manage?
