CRM for print shops: shops, businesses and private clients, order after order

9am: the file arrives by email
A shop sends its logo for the window graphics. You record the shop (name, phone, email, where it came from) and attach the file received, up to 15 MB: next to the job stays what the client actually gave you, with its date.
11am: a price for a sign
An owner asks how much a sign for their premises costs. You note the survey on the record; you prepare the quote afterwards, as a PDF, and it goes out by email. If they don’t reply, the record comes back among the people to follow up after three days, and again after a week, two weeks and a month.
3pm: a couple needs to approve their invitations
The proof is ready, the couple want to think it over with their parents. You move the record to “Negotiating” and set the follow-up day yourself: from then on you decide the timing, and the invitations come back on the list on the chosen morning.
5pm: who still has to pay
On every record you see the deposit, instalments and what’s outstanding. In the Report the amount to collect adds up the unpaid jobs across the whole print shop.

Shop signs in the software: an illuminated sign for a bar opening
Let’s follow a sign in RegiaPro with a fixed deadline: the opening of a bar. Davide, his bar and every figure in this story are made up; they don’t come from any workshop’s prices.

2 March: the shopfront survey
Davide is opening a bar on 5 April and wants an illuminated built-up letter sign and a projecting sign. You open the record with source “word of mouth”. At the shopfront you take measurements and photos: you attach them to the record, with the fascia width, height from the ground, power supply and brand colours in the notes.

6 March: the proof and two quotes
You prepare the design proof in your usual program and attach it to the record as a PDF. Then two options: built-up letters only at €2,400, or letters plus projecting sign at €3,200. For each one you set the amount on the record and generate the quote; the two documents get different numbers and both are kept. In the note: materials, LED lighting, dimensions, brackets, installation included, council permit handled by the client.

9 March: the choice, the contract and who pays
Davide chooses the full option and the record’s amount goes back to €3,200. The payer is the bar’s company, which you enter as the document holder with its tax details; the quote stays in Davide’s name. The contract, included from the Pro plan, comes from the workshop’s template, titled “Proof approval and order”: it states that the attached, signed proof will be produced, and that installation happens once the client has the council permit. RegiaPro fills in name, date, total, deposit and balance.

10 March: the deposit
The bar’s company sends €1,000 by bank transfer: it goes on the record as the deposit, with date and method, and you move the record to “Confirmed” and set the installation for 4 April from 7 to 12, before work on the bar resumes. From then on the installation is also in the workshop’s Google Calendar or iCloud.
Invoices and payments in the plans -
March: sheet metal, LEDs and wiring up the sign
Sheet metal, acrylic and LEDs cost €1,150, which you log as out-of-pocket costs for the sign, noting “sheet metal, acrylic, LEDs” alongside. The wiring is done by an electrician you trust, whom you add as a collaborator at €180. In the important note you write “get a copy of the council permit before installation”: on 28 March you find it in your task list, and you message Davide using the WhatsApp text prepared for permits.

4 April: installation
From the bar’s address RegiaPro has calculated the travel, €12 there and back. The sign goes up in the morning and lights up in the evening. On completion the company pays the €2,200 balance, and from the Pro plan you prepare the €3,200 invoice made out to the company, with the next number of the year.

Doing the maths with the figures on the record, €1,858 is left on that sign after materials, electrician and travel; tax and the hours spent at the bench and up the ladder are still to be accounted for.
Print proofs to approve: the sheet the client signs before printing
A typo on a thousand flyers or on a sign can’t be rubbed out. That’s why print shops have one rule: you print the approved proof. In RegiaPro that proof and the signature approving it sit on the job record.
The print proof attached to the record
The PDF or image of the proof goes among the record’s attachments, up to 15 MB. If the print file is heavier, attach a light preview: it’s enough to show what was approved.
Proof versions, from first to last
Every time the proof changes, you attach the new one and note the date and the correction: “12 March, phone number changed”. The latest version is clear without opening every file.
The proof approval contract
In the contract template you write the print shop’s terms: only the signed proof is printed, colour differences between screen and paper fall within a tolerance, errors not flagged on the proof don’t entitle the client to a reprint. Client name, date and amounts come from the record.
Signing the proof at the print shop counter
The PDF is signed in pen at the counter, or you open it from the record, forward it to the client and they send it back signed as a scan. You attach the signed copy to the record, next to the proof.
From 500 to 1,000 copies: changing the print run
If the client goes from 500 to 1,000 copies after the quote, you change the amount and generate a new quote, which gets its own number. The first stays as it was.

Wedding invitation printing: dates that don’t move
Wedding invitations are short runs that need enormous care: names, dates, venues and times must be exact, and delivery has a date nobody can move.
The invitation delivery date on the record
For a print shop the date that matters is when the invitations are delivered, usually months before the wedding. That’s the one you put on the record; the wedding day goes in the notes.
Invitation proofs reviewed with the couple
The couple approve together, often with their parents. You attach every version and note the corrections with the date. When the proof is final, the signature on the contract, from the Pro plan, settles the discussion.
Paper, envelopes and seals for the invitations
In the quote note: paper and weight, format, hot foil or embossing, envelopes, seals, number of copies. If the couple add menus or place cards, a second quote with the new figure.
Who pays for the invitations: the couple or a parent
It might be the couple, it might be a parent. In “Who the documents are made out to” you enter the person paying, and the Pro invoice goes to them.
Collecting the boxes of invitations
You keep the collection message among your WhatsApp texts. When the boxes are ready you open it from the record and send it, and in the important note you can write what needs remembering a week before delivery.
Window graphics, banners and large-format printing: quick orders and payments in order
Large format lives on quick orders, often for the next day. The risk isn’t the printing: it’s forgetting the deposit, the fitting or the client who’ll be back in six months.

The deposit before sending large format to print
For made-to-measure jobs the deposit is logged before sending to print, with date and method. The record reminds you what’s left to pay at collection.

Date and time on the record, travel calculated from the shop’s address, a message to the owner from your WhatsApp texts to have the window clear and clean.
The shop that changes its window graphics every season
The shop that changes its window graphics at Christmas and for the sales: once the job is done, you create the Christmas window graphics record straight away with status “New”, and November as the date to get back in touch: on that day the shop is back on the follow-up list.
The client’s logo and print files
Logos, text and photos the client sends you are attached to the record. A year later, when they reorder, just search by name or number and the files are still there.
Print shop software: print MIS, estimating tools or CRM?
On 14 September 2026 we searched for “print shop software” and “sign shop software” in Italian and read the most relevant pages. For print shops, what comes up is mainly production management systems for the printing industry and programs that calculate print quotes; for signs we found no dedicated pages. None of the pages we read gave a price.

Frequently asked questions from print shops and sign workshops
Can I attach the proof and the client’s files?
Yes, on the saved record: PDFs, images and Word documents up to 15 MB each. For heavier print files you attach a PDF preview, which is enough to remember what was approved and when. Everything stays on the job record.
How do I get a client to approve a proof?
You attach the proof to the record; with the Pro plan you then generate the print shop’s approval form, with name, date and amounts already in place. The client signs it at the counter or sends it back signed as a scan, and you attach the signed copy next to the proof.
Can I offer two options for the same sign?
Yes. Each option becomes a separate quote, with its own figure and with materials, lighting and dimensions described in the note; the numbers differ and all are kept on file. Once the sign is chosen, the record’s amount goes back to that of the approved version.
The invoice has to go to the shop’s company: is that possible?
Of course. The shop company’s tax details (company name, VAT number, recipient code or certified email (PEC)) go in the “Who the documents are made out to” box. The owner you dealt with remains the name on the quote and contract; the invoice carries the company’s.
How do I put a sign installation in the calendar?
On the record you enter the day and time of the installation. Once the job is confirmed the installation appears in the linked calendar, Google or iCloud, and if you move it from your phone the record updates within a few minutes.
How do I remember the council permit before installation?
Write in the important note what needs to be ready, for example the copy of the permit: RegiaPro shows you the reminder seven days before the installation. From there you open WhatsApp with the message already prepared to ask the client for it.
A business reorders business cards every year: how do I keep track?
You find them by searching name or phone, with the files and proofs from the previous job. If you want to get ahead of the reorder, create the next order’s record in advance, with status “New”, and choose the date to get back in touch: that’s the day the business returns to your follow-up list.
Can I see how much I keep on a sign?
Yes. Panels, LEDs and profiles go in as out-of-pocket costs; an outside electrician or fitter in the collaborator field; travel is calculated from the address. On the record they sit next to the sign’s price; the Report adds them to the print shop’s total costs, next to the year’s margin.
