A weekend of shooting.
And the Monday after it.
Instead of listing features, we walk you through a real day — the one you know — and what changes in each part of it. The screens below are photographs of the software, not drawings.
Monday morning, and you know where to start
You shot a wedding over the weekend. You have three quotes out there and a delivery about to expire.
- You open your inbox and hope you remember who was waiting for an answer
- You dig through your phone for what you promised that couple back in June
- You write the same message from scratch for the third time
- You do not know whether that christening delivery expires today or Thursday
- By eleven you still have not touched the weekend's photos
- You open it and read: "3 clients to follow up"
- Each one with how many days they have been waiting, and where you got to
- The message is already written: you read it, fix it, send it
- Deliveries expiring in the next seven days are right below
- By ten past nine you are done, and you move on to the photos
Open it, and you know who is waiting
Not a revenue chart: the list of people waiting on an answer from you, in order of how late you are.
Real screenshot from the software. Names and amounts are made up.
How many days they have waited
Next to each name, how overdue the follow-up is. The latest ones first.
Where you got to
"Quote sent", "Contacted": the status, without opening the record.
Which reminder it is
"reminder 1 of 5": you know whether it is the first nudge or the last try.
Deliveries
What has expired and what expires in the next seven days, worked out from the type of job.
Follow-ups are not all alike. Not here either.
A wedding is decided over months, a corporate video in two weeks. Chasing them at the same rate means being pushy with one and vanishing on the other. In RegiaPro every type of job already has its own pace, without you setting anything up.
| Type of job | When it prompts you, counting from the quote | How many attempts |
|---|---|---|
| Wedding | day 3, 7, 14, 30, 45 | 5 |
| Christening, 18th, birthday, graduation | day 3, 7, 14, 30 | 4 |
| Corporate event, real estate shoot | day 3, 7, 14 | 3 |
| Someone who only wrote to you, with no quote | day 2, 5, 10 | 3 |
These are the values the software starts with. They can be changed for each type of job, but almost nobody does: they are already tuned to the trade.
Never two messages close together
At least three days pass between one reminder and the next to the same client. If you come back from a week of shooting with everything overdue, RegiaPro will not let you send the same person three messages in one afternoon: it catches up calmly.
Silence before the event
In the week before the date the reminders stop by themselves. Asking "have you had a chance to look at the quote?" six days before the wedding is badly timed, and it shows.
If they reply, everything stops
All you do is log their reply: the automatic reminders switch off, the job moves to negotiation, and from there you decide when to get back to them. Nobody gets chased by software while a person is already talking to them.
The message is already written. You are the one who hits send.
Inside every client record there are six ready-made messages, one for each stage of the job. You pick one, edit it if you want, and open WhatsApp with the text already in it.

First message
The introduction, for someone who has just written to you.
Ask for the date
Without it there is no quote to write.
Send the packages
Price list and offer, with a link people can actually read.
Follow up
"Had a chance to look?", at the right moment.
Confirm
When everything is locked in.
Ask for the review
Right after delivery, while they are happy.
It goes out from your number
RegiaPro opens WhatsApp with the message already written: you are the one who sends it, from your number. The client gets a message from a person they know, not from an automatic sender they have never seen.
Delivery, and the phone call you no longer have to make
The photos are uploaded once. Then you send a link — with or without a password, with or without an expiry date — and from there the work changes for both of you.
- They mark the favorites themselves. Instead of the phone call with numbers read out loud, you find a list already made.
- If they do not pay the balance, you revoke the link. From that moment nothing shows any more — not even the individual photos someone had saved off to one side.
- Galleries are grouped by month and it opens on the current one: after two years of jobs it is the only way to find anything.
- There is a public showcase too, the portfolio you send to people who do not know you yet, built from the galleries you flag.
- The GPS location disappears. Cameras write it into every shot; at a wedding that line says where the bride lives.
Real screenshot. The example galleries are empty: we do not put someone else's clients' photos on a website.
And that wedding keeps working for another month
The photos you have just delivered are already edited and already chosen. They are the best material you have for your own profile — and usually they are the ones that sit still on the disk.
- 1
Pick the client
Only clients with an accepted job show up, and the photos are the ones from their gallery.
- 2
Pick the rhythm
A weekly pattern: a carousel on Monday, a story on Wednesday, for example.
- 3
Look at the month
It suggests a post for every day. You move whatever does not sit right.
- 4
Add the info cards
The text panels that explain how you work, without opening anything else.
- 5
Confirm
From then on, when the time comes, the post is ready and it tells you.

Four things RegiaPro does not do, on purpose
It does not send anything on its own
No email, no WhatsApp, no post goes out without your click.
It does not ask for your email password
Never. Client replies still reach you.
It does not delete your data
Not even if you stop paying: the account goes read-only.
It does not sell tokens
AI credits are a number written down, not a currency you top up.
The rest you pick up in two days
Fourteen days with the whole Pro plan, no credit card.
