Why a florist handles events better with a record
A wedding is worth a month of counter sales, but it takes six months to prepare and is decided in one morning. That’s where you need dates under control, the wholesaler’s accounts and written answers.
Which flower orders to start from
Open a record for each event already booked for next season, with the deposit you’ve taken and the town of the ceremony. In half an hour the calendar shows you the full weekends, and you know straight away which Saturdays you can still offer.
CRM for florists: where couples come from and who sends them

A wedding quote is rarely just one: the flowers change, the number of tables, the budget after the first site visit. This example follows the three proposals made to one couple. Anna, Luca, the farmhouse venue, the dates and every figure are invented to explain the method.

Anna and Luca, 22 May 2027
They’re getting married in a village church at 11 and celebrating at a farmhouse twenty kilometres away, with 90 guests. On 11 November 2026 Anna writes on Instagram with four photos of pink peonies and asks for a proposal for church and reception.

On 18 November, after the first meeting, you put €2,450 on the record and prepare the quote from your template. In the note you list the contents: peony bouquet, six buttonholes, floral arch at the church entrance, twelve tall centrepieces, table plan. The PDF with the shop’s logo shows the total on one line and the description below; it goes to Anna using the email on the record, which from then on shows as “Quote sent”.

On 2 December Luca asks to get below two thousand euros. You remove the arch, replace the table peonies with hydrangeas, correct the amount and redo the document. The second proposal gets its own number and the first stays readable on the record: if in January they ask “how much was it with the arch?”, the answer is there.

From the third version to the flower deposit
In the accepted offer field you write in one line “version 3: peony bouquet, 12 low centrepieces, altar, table plan”: it goes into the agreement and every later email. On 15 January Anna pays a €700 deposit by card; you record it with its method, move the record to “Confirmed” and, if you’ve connected your phone’s calendar, 22 May appears there too. With the Pro plan the agreement comes out as a PDF from your template, ready to sign at the counter.
Invoices and payments in the plans
What’s left once the installation is taken down
Takings of €2,120: €700 in January, €1,420 the day after the wedding. On the record you note €760 of flowers and greenery from the wholesaler, €180 for the assistant who helped set up and €42 of travel to the farmhouse. Once the sums are done the shop keeps €1,138, before tax and hours of work; with the Report in hand, those same costs weigh on the month and the whole year.

Wedding church flowers: delivery morning, stop by stop
On a wedding Saturday the van does its round before the couple wake up. RegiaPro prepares the route for you the day before, so in the morning you only have to watch the clock. The times below are Anna and Luca’s, and they’re invented.
The flower van’s stops, in order
On the confirmed record you enter up to six stops with the exact address: Anna’s house for the bouquet, the church, the farmhouse for the lunch. If the order changes you drag them, and RegiaPro builds the navigation link to open or pass on to whoever is driving.
7:00, loading the van
On the record the start is at 8:00, the bouquet delivery. RegiaPro tells you what time to leave to be on time at the first stop, adding the expected minutes on the road and the margin you chose in the settings; on the day itself the home page repeats it at the top.
9:30, the altar before the service
The church asks for everything to be finished by 10:15. It’s written in the record’s notes, together with the sacristan’s name and the number of pews to decorate, and you read it on your phone in front of the church door.
11:30, the tables at the farmhouse
The assistant who sets up with you is entered on the record with her fee. In the month’s Report that fee is already deducted from takings, without having to remember it at midnight.
The week before: vases and stands
If the glass stands come from a hire company, you write it in the important note: seven days before the wedding a reminder appears among your tasks. Put the late-night take-down in your smartphone calendar: if RegiaPro has permission to read it, it imports it among your appointments.

Wedding flower costs: wholesaler, set-up and van in the margin
People searching for how much wedding flowers cost only see the final price. You need to know how much of that price stays with you, and for wedding floral design the items that eat into it are always the same.
The costs of a single floral installation
- flowers, greenery and materials bought specially, among the out-of-pocket costs with a note (“wholesaler, peonies and ranunculus”);
- whoever helps you set up and take down, with name and fee;
- the journey to the venue, worked out in kilometres, fuel, tolls and time.
The flower shop’s fixed costs
Rent, cold room, van insurance: they don’t belong to a couple and go on the Costs page, split by category. The Report keeps them separate from job costs, so you see both the margin on jobs, month by month, and the margin for the whole year.
How much couples still owe the florist
At the top of the Report there’s also how much jobs not marked as paid still owe you. With a tick you can include pending enquiries in the figures too, to see how the season would go if you closed those negotiations.

Wedding florist contract: six points to write down before ordering the flowers
A written agreement protects you and the couple at the most delicate moment, when you order flowers from the wholesaler that you won’t be able to resell. FAQ from florists about RegiaPro
How do I put bouquets, centrepieces and decorations in the quote?
The agreed total goes on the record and ends up on the price line. You describe the contents in the quote note, printed in the PDF: flower varieties, number of centrepieces, height, church and room decorations, transport and set-up. The couple read everything on one sheet.
How do I handle a couple who change their minds about the flowers?
Every time something changes you correct the amount and generate a new proposal from the record. The previous ones remain available with their figures, so in the shop you can show the three versions side by side and choose together.
The wedding planner pays for the couple: who do I address the documents to?
You link the agency to the record as the invoice recipient. Quote, agreement and invoice take its tax details, while the couple’s names and phone numbers stay on the record for the trials and the delivery morning.
Can I handle two weddings on the same Saturday?
Yes: they’re two records with the same date and different times. For each one you prepare the stops and departure time, and the calendar shows them one under the other, so you see straight away whether the van and the people are enough.
Where do I log flowers bought at the market for an event?
In the out-of-pocket costs field for that event, noting next to it “flower market, roses and greenery”. The Report subtracts that amount from takings, together with assistant and travel, and the month’s margin you read is the real one.
How do I remember to collect vases and structures after the party?
The take-down is an appointment like any other: put it in your mobile calendar and, if RegiaPro reads it, you’ll see it appear among your appointments. In the record’s notes you write the list of pieces to bring back to the shop.
Can I keep photos of the finished installation?
Yes. Images and documents (JPG, PNG, PDF, Word) are uploaded to the couple’s record, and each can be up to 15 MB. The table plan, inspiration photos and photos of the finished work stay together, ready for the next couple who ask for something similar.
Is it worth it for christenings and communions too?
Yes, with smaller amounts Start is often enough: record, PDF quote and WhatsApp message to confirm the delivery time. If the family wants an invoice, with Pro you prepare it from the same record.
