    Structural design in the software: an opening in a load-bearing wall step by step

    Here is a job that is real in form and invented in content: names, dates and amounts are there to show the path through RegiaPro and are not a fee scale.

    The case: joining kitchen and living room in a 1970s terraced house

    On 3 March Luca and Sofia call you. They’ve bought a terraced house and want to open a three-metre gap in the load-bearing wall between kitchen and living room. The architect handling the renovation already has the measured survey and gave you their number; the builder would like to start on 5 May. They need the design of the steel frame, the seismic filing and then someone to supervise the structural works.

      You open a first record for Luca with phone, email, source “Collaborator” and the town where the house is: that’s the one for the design and the filing. Since Luca is paying, under “Who to address documents to” you enter his tax code and address. When site supervision comes along, you’ll open a second record for the same client, with his details already there; searching “Luca” will always bring up both. In the notes of the first you write the street and floor, wall thickness, clay-and-concrete floor, the names of the architect and the builder. Once the record is saved, you attach the survey as a PDF and the photos of the wall.

    2. The fee quote for the frame

      On 9 March, after the site visit, you enter the amount on the record, €1,900, and generate the fee quote: a PDF with your practice letterhead, the client’s name and the wording of your template, including how many days the offer is valid. The fee sits on one line; you list the services in the note printed at the bottom: check of the wall and floors, calculation of the steel frame, report and drawings, seismic filing, professional indemnity policy details. You send it by email without leaving the job: the status becomes “Quote sent” and the history logs it.

    3. A second opening, a second quote

      On 16 March Sofia asks whether the door to the storeroom can be opened too. You change the fee to €2,300 and from the same record generate a second fee quote, 15/2026-P; 14/2026-P isn’t touched and keeps the €1,900 proposed earlier. If nobody had replied, from 19 March Luca would have appeared among the clients to call back on the home page.

    4. Luca signs the engagement letter

      On 20 March Luca accepts. With the Pro plan you generate the engagement letter: your template carries the title “Professional engagement letter” and your practice’s clauses on timing, variations and payments. RegiaPro fills in the client’s personal details and tax code, the date, the fee and the sequential number, plus the list of services taken from the notes. It is signed at your office, on the printed PDF.

    5. 14 April in the calendar, the builder to call back

      You set the status to “Confirmed” and the date to 14 April, the day set for delivering the design and filing: the appointment goes into Google Calendar or iCloud on your phone. As an important note you write “get the builder to confirm the start date and the site manager’s name”: RegiaPro puts it among your tasks on 7 April. If the builder moves everything back a week, you move the event on your phone and a few minutes later the record has the new date.

    6. The floor colleague and Luca’s bank transfer

      On the record you log the collaborator who checked the floor with you, €250, and under extra costs €40 for copies of the drawings. On 14 April the filing goes in and Luca pays the €2,300 by bank transfer: you note the date and payment method. With the Pro plan the invoice is generated from that job and carries the client’s details and the number following the last one issued.

    7. Steel sections and pours in the second record

      On 22 April you open the second record for Luca: structural site supervision, €1,200, date 5 May, already linked to his tax details. As the town you enter the one where the house is and work out the travel costs for the visits. The important note “check sections and plates on site before the pour” reaches you on 28 April. During the works you attach photos and minutes; on 20 June you deliver the report on completed structures, Luca pays the balance and you prepare the invoice for this second record.

    Design and filing €2,300, site supervision €1,200: €3,500 received. Take off €250 for the collaborator and €40 of copies and €3,210 is left, before tax, pension contributions and travel. On the two records there are two quotes, an engagement letter, the photos, the minutes and two invoices; the Report adds those amounts to the year’s result and to the line for jobs referred by colleagues.

    Site supervision and structural inspection: long jobs in the CRM

    Jobs that last months test your memory more than complicated ones. In RegiaPro each has its own record, with everything that has happened written in the history.

    Design, site supervision and inspection can have different timings, amounts and payments. Opening one record per service keeps quotes and payments apart, while the payer’s details stay the same and a search by name shows them all together.

    The Report shows payments received and margin by source, and you choose the sources: fellow architects, builders, property managers, word of mouth, your website. If you choose project-based work, overheads also take on the categories of a technical practice, such as “Technical equipment and software” and “Car and site visits”.

    Professional engagement letter: what to put in it

    The engagement letter is the document that gets engineer and client to agree before the first calculation. On RegiaPro’s Pro plan you set up its wording once, and for every new job the client and figures fill themselves in.

    Software for engineers: business software alongside your analysis programs

    Anyone looking for engineering practice software finds very different products under the same name. On 14 September 2026 we reviewed two searches and studied the pages of three management packages designed for technical practices; on Google Italy, for “software per ingegneri” (software for engineers), the first page is almost entirely analysis and design programs. None of the three showed a price, and the word CRM was missing entirely from the result titles.

    FAQ for self-employed engineers

    How do I list the individual services in the quote?

    The agreed amount goes on the record, and the services in the quote note: survey, calculations, drawings, seismic filing, site supervision, with timings. The client finds them printed under the figure and knows what they’re accepting before signing.

    How do I handle design and site supervision for the same client?

    Open a record for each service, linked to the same payer details. Each keeps its own fee quote, dates and payment, and searching by the client’s name brings back the whole series, archived ones included.

    Can I attach drawings, minutes and filing receipts?

    Yes. On every saved job you upload PDF or Word documents and JPG or PNG images, up to 15 MB each: calculation report, drawings exported to PDF, receipts, signed minutes, site photos. They stay on the job record, ready to pass on to the client or the inspector.

    How do I prepare the engagement letter?

    On the Pro plan you set the title and clauses of the engagement letter once. For each job RegiaPro fills in the client, tax code or VAT number, date, fee, advance, balance and number, and brings in the services written in the notes; all that’s left for you is to print it and have it signed.

    How do I record who passed me the job?

    You note where the job came from, choosing from options you create in “Settings”, such as “Architects”, “Builders” and “Property managers”. The Report shows for each one how much you’ve received and how much you kept, so you see which partnerships pay off.

    Do job dates go into my phone calendar?

    Yes, if you connect Google Calendar or iCloud: confirmed records appear with date and time. If you move the event on your phone, a few minutes later the date updates in RegiaPro too.

    How do I get started with the jobs I already have?

    Create a record for each open job, with the agreed amount, payments already received and signed documents. Add other clients when they come back, and from then on a search by name or phone brings up their whole history.

    Can I use it on site?

    RegiaPro opens in the browser, on your phone too. On site you open the job record, reread notes and services, and attach straight away the photos of the reinforcement or the minutes just signed.
