    Energy assessor software: the EPC assessor working for homeowners and estate agents

    An energy assessor is often a surveyor, an engineer or an architect who has made certificates a regular part of the job. Enquiries are many, small and urgent: that’s why it pays to have software that keeps them all in line. Here are the four kinds of job RegiaPro handles best.

    EPC to sell a home

    The owner already has a buyer and a completion date with the notary. They need a valid certificate before completion, and often before the listing too, because the energy rating has to appear in the advert.

    EPC to let

    The tenancy agreement needs the certificate attached or referenced. The landlord usually calls a few days before signing and wants to know straight away how much it costs and when you can come round.

    CRM for energy assessors: EPC enquiries from estate agents, notaries and homeowners

    In EPC work not all clients are the same: some call you once in a lifetime, and there’s the estate agent who writes every week. These are the six situations where an enquiry usually gets lost, and what RegiaPro offers instead.

    Energy Performance Certificate in your business software: an EPC for a sale, step by step

    Below is a job followed in RegiaPro from the first phone call to the invoice. People, addresses, dates and amounts are invented: they’re only there to show how a job moves along, they are not recommended rates.

    The case: a two-bedroom flat to sell by May

    On 7 April Elena, who works at an estate agency, sends you a message: Mr Bruno is selling a two-bedroom flat on the third floor with its own heating, the preliminary contract is signed and completion is set for 20 May. Bruno also lets a one-bedroom flat in the same building and has asked Elena whether, “while we’re at it”, you could do the certificate for that one too.

    1. The enquiry becomes the owner’s record

      You create Bruno’s record with phone, email and the source “Estate agency”, which you added to the list once. In the “Who the documents are addressed to” box you enter his details as a private individual, tax code and address, because he’s the one paying. As the date you put 28 April, the day proposed for the site visit, as the town the property’s town, and in the notes what you’ll need for the calculation: street and floor, about 85 square metres, built in 1978, gas boiler, windows replaced recently. Once the record is saved, you attach the land registry extract and cadastral floor plan Elena forwarded to you.

    2. The quote for the two-bedroom flat, line by line

      On 8 April you enter the amount for the two-bedroom flat on the record, €200, and prepare the quote: out comes a PDF with your practice’s logo, Bruno’s name and the text of your template. The figure sits on one line; you write the items in the note that appears at the bottom of the document: site visit, survey of floor areas and windows, calculation, submission to the regional EPC register, delivery of the signed certificate as a PDF. You email it from the record and the status becomes “Quote sent”.

    3. The second quote for both flats

      On 10 April Bruno asks the price for both. You raise the amount to €340 and prepare a new quote from the same record: it gets the next number, for example 24/2026-P after 23/2026-P, and the €200 one stays archived exactly as it was sent. If Bruno hadn’t replied, three days after sending you’d have found him among the clients to follow up on the home page.

    4. The signed engagement and the site visit in the calendar

      On 14 April Bruno accepts over the phone. On the Pro plan you create the engagement from Bruno’s record: your template is titled “Engagement for Energy Performance Certificates” and you wrote your terms once, for example that the owner guarantees access to all rooms and provides the boiler logbook. Bruno’s name and tax code, the date, the total and the document number go in by themselves. You print it, and Bruno signs it on the day of the visit. You set the record to “Confirmed” for 28 April at 9:30: the site visit appears in Google Calendar or iCloud on your phone.

    5. A week before: the missing logbook

      In the important note you write “get Bruno to send a photo of the boiler logbook and the last boiler service”. RegiaPro turns it into a reminder due on 21 April, seven days before the visit, and you see it in your to-do list. That day you open the record and pick the message listing the documents from your texts: WhatsApp opens with Bruno’s name and the date already filled in, and you press send yourself.

    6. After the visit: photos, costs and delivery

      On 28 April, after the site visit, you attach photos of the boiler and windows to the record, useful if the regional authority runs a check. Under extra costs you log €30 for the second trip to the one-bedroom flat, where the tenant wasn’t in. On 6 May you upload both certificates to the regional portal and attach the signed PDFs and receipts to the record.

      On 7 May Bruno pays €340 by bank transfer: you log it on the record with date and method, and the amount outstanding drops to zero. On the Pro plan the invoice is generated from the delivered certificate, for the job amount and with Bruno’s details already filled in, and takes the next number for the year. If you’re on Italy’s flat-rate tax scheme, the legal wording and revenue stamp are already in place. On the Studio plan you also get the XML file to submit.

    EPC documents: what to ask the owner for and where to keep them

    Half the delays on a certificate come from a document nobody asked for in time. With RegiaPro you write the list once among your WhatsApp texts, and every file you receive lands on that property’s record, up to 15 MB each.

    They’re used to check floor areas, floor level and permitted use. If the owner doesn’t have them, you can write it in the important note and remember to get them before the visit.

    The logbook says what heat generator there is, what year and what output; the last service report confirms the system has been maintained. A legible photo attached to the record is enough for the calculation.

    New insulation, windows and boiler

    Invoices or data sheets for new windows, external insulation, heat pump or panels: without that paperwork the calculation program starts from cautious values and the rating gets worse.

    When heating is communal, the managing agent holds the boiler and consumption data. You note their number in the record’s notes, so you don’t have to look it up again for the flat next door.

    Anyone looking up the price of a certificate wants a clear figure, fast. The assessor, on the other hand, has to factor in floor area, type of heating system, distance and urgency. In RegiaPro you prepare the answer in a few minutes, and it stays on record.

    When an agency gives you several properties belonging to different owners, open a record for each property with the agency as source: each owner gets their own quote and pays for their own certificate. If the agency pays instead, you add it once as a contact of type “Estate agency”, with VAT number and e-invoice recipient code, and link it to all its property records.

    On the record you log the deposit and the balance instalments with date and method. On the home page you’ll find the open balances across all records, and you know how much you’re still owed without opening your bank statement.

    Certificate invoices and the year’s accounts

    From the Pro plan the invoice is created from the record, as a PDF with your logo and the payer’s details, with numbering that restarts every January; on Italy’s flat-rate tax scheme it carries the required wording and revenue stamp. The Studio plan adds XML export and, in December, a single archive with all the invoices and their list for your accountant.

    EPC site visit: booking it and finding it on your phone

    To issue the certificate, a site visit to the property is required. With ten visits in a week, knowing where you need to be and with which keys matters as much as the calculation.

    When you set the record to “Confirmed”, the visit date goes into your Google Calendar or iCloud. If the owner asks you to move it and you change it from your phone, a few minutes later the new date is in RegiaPro too.

    Energy assessor software: calculation program, enquiry portal or CRM?

    Search for EPC software and you’ll find very different things. On 14 September 2026 we looked at the top results for two searches: regional authorities, guides and above all programs for calculating the certificate and submitting it to the energy register, plus a portal that collects EPC requests. The product pages we read said nothing about quotes, payments or invoices, and no title contained the word CRM.

    FAQ from assessors who sign EPCs

    How do I manage an agency that sends me lots of properties?

    Open a record for each property and choose the agency as source, after adding it to the list in Settings. That way each certificate has its own documents, its own quote and its own payment, while the Report shows takings and margin for the properties that came from that agency.

    Can I attach the signed certificate and the energy register receipt?

    Yes. On the saved record you attach PDF, JPG, PNG or Word files up to 15 MB each: the signed certificate, the submission receipt, the site visit photos, the land registry extract. You’ll find them all together when the owner or the notary asks you for a copy.

    How do I send the owner the list of documents for the EPC?

    Write the message once among your WhatsApp texts, with land registry extract, floor plan, boiler logbook and invoices for building work. From the record you choose that text, WhatsApp opens with the message ready and you send it after reading it through.

    Does the site visit show up in my phone calendar?

    Yes, if you connect Google Calendar or iCloud: once the record is confirmed, the date and time of the visit land in your phone calendar. If you move the appointment there, within a few minutes the date changes in RegiaPro too.

    How do I prepare the engagement for the owner to sign?

    From the Pro plan you write the contract template once, with the title you prefer and your terms. For each owner RegiaPro fills in name, tax code, date, total, deposit and balance; you print the PDF, get it signed and the copy stays attached to the job.

    How do I write in the quote what the certificate includes?

    You put the amount on the record and the items in the quote note: site visit, calculation, submission to the Region, delivery time, any urgency. The note is printed on the PDF, so the owner reads what they’re paying for before accepting.

    How do I start again with the clients I already have?

    Start from the open certificates: a record for each property waiting for the site visit, the calculation or payment. Add the other clients when they call you again; from then on, searching by name or phone number, you’ll find all their records, including archived ones.

    Can I use it outside the office?

    RegiaPro runs in the browser, on your computer and on your phone. During a site visit you open the property record, reread the notes on keys and intercom and attach photos of the boiler and windows straight away.
