Surveyor software for the independent surveying practice

CRM for surveyors: owners, notaries and records requests pending

The notary’s office rings about a client

The case: the parents’ house to sell by November
On 22 September a notary’s office rings you about Anna, who has inherited her parents’ two-storey 1968 house with a garage and is selling it: completion is set for 14 November and the notary wants the integrated technical report on planning and land registry compliance.

The phone call becomes Anna’s record
You open the record with Anna’s name, phone, email, the “Notaries” source and the town where the house is. In the “Who the documents are made out to” section you enter Anna’s tax details once, for the engagement and the invoice. In the notes you write the sheet and parcel numbers, year of construction, the notary’s name and the completion date. With the record saved, you attach the land registry extract, the cadastral floor plan and the estate declaration Anna sends you that same evening.

The proposal for the integrated technical report
On 24 September you enter the amount on the record, €650, and generate the fee proposal: a PDF with your practice’s details at the top and Anna’s name below, the wording you always use and how long the offer is valid. Under the single fee line, the note lists the work: land registry searches, records request at the council, site visit and survey, comparing the actual state with permits and plans, a signed report for the notary, with council fees paid by the owner. You email it from the record and the status changes to “Quote sent”.

The site visit finds a discrepancy
On 3 October, during the site visit, you notice that on the ground floor a wall was moved years ago and the cadastral plan doesn’t show it; the permits found at the council don’t include the change either. You need a late notification for the internal works and an updated plan filed with DOCFA. You raise the fee to €1,550 and redo the proposal for the same case: 41/2026-P replaces 40/2026-P, which stays archived just as you sent it.

Anna signs the engagement and the authorisation
On 6 October Anna accepts. With the Pro plan the engagement letter is generated from the case: your practice’s template is titled “Letter of professional engagement” and states, among other things, that penalties and taxes are paid by the owner and that timings also depend on the council’s replies. RegiaPro fills in the owner’s personal details, tax code, date, fee and sequence number, and the list of work comes from the notes. Anna signs it at your office together with the authorisation for the records request.

The notary’s date on the calendar
You set the record to “Confirmed” with the date 7 November, a week before completion, the day you want to hand over the report: it appears on your Google or iCloud calendar. In the important note you write “check the DOCFA receipt has arrived and attach it to the report”: the reminder falls due on 31 October.

Late notification, DOCFA and the garage keys
On 13 October you file the late notification and on 20 October the DOCFA; you attach the receipts to the record. To remind Anna about the garage keys you use the WhatsApp message you keep ready for these cases: it opens from the case with her name already filled in, and you send it yourself. On 6 November you sign the integrated technical report, deliver it to the notary’s office and send Anna a copy by writing to her from RegiaPro with the PDF attached, and the log keeps a record of it.

On the record you enter the draughtsman who redrew the plans, €120. On 7 November Anna’s €1,550 bank transfer arrives: you note when and how she paid. From the Pro plan, the invoice is issued from the case, made out to the owner and numbered in sequence with the others that year.

Land registry updates and DOCFA: short cases in the CRM
Land registry entries, updates and transfers are the daily work of many practices: a few days each, but dozens a year. Even the shortest case deserves a record, because the owner will come back.
A record even for a quick transfer
Owner’s name, town, cadastral data in the notes, agreed amount: a few fields are enough to find, years later, who it was and what you filed.
Title deed and land registry extract to request
Title deed, up-to-date land registry extract, any building permit, authorisation: you keep the list saved as a WhatsApp message and send it from the case, with the owner’s name already in place.
DOCFA and PREGEO receipts attached
The DOCFA or PREGEO receipt, the plan filed and the previous one stay attached to the record as PDFs. When the owner sells, ten years later, you still have them.
Land registry fees written down up front
In the quote note you state which taxes and fees the owner pays, so your own fee stays clear and doesn’t get mixed up with the amounts owed to the offices.
Heirs, estates and transfers of title
With an estate, documents come from several heirs. The record’s notes hold each one’s contact details, and the log remembers when you wrote to the client and which documents you have already sent.
Surveyor’s fees: quotes, retrospective permits and payments in your software
Anyone looking up what a surveyor charges for a CILA or a retrospective permit wants a clear answer. A surveyor wants a proposal that leaves no doubt and a simple way to know who has paid. In RegiaPro both sit on the same record.

Owners with an outstanding balance
Advances and instalments are noted on the case, with date and payment method. As soon as you open RegiaPro you see which owners still have a balance outstanding.
Surveyor’s invoices from the Pro plan
It is created from the case, made out to the owner, with numbering that restarts every 1 January; for surveyors on the flat-rate scheme the exemption wording and the stamp duty are added automatically. With Studio every invoice also becomes an XML file to transmit, and when you close the year you download them all at once for your accountant.
Car, office and software for a surveying practice
If you choose project-based work, the overheads page uses categories for a technical practice, such as “Car and site visits” and “Office and rent”, and the Report takes them off the year’s result.

A surveyor’s engagement letter: what to put in it
A signed engagement avoids arguments when the council asks for more information or the case drags on. With the RegiaPro Pro plan the engagement wording is always the same, and the owner’s details are pulled from the case every time.
Searches, survey, DOCFA: what the engagement covers
What the engagement covers: land registry searches, records request, survey, building application, DOCFA, report. Anything that only applies to one case goes in its notes, and the engagement picks it up through the placeholder provided.

Anyone searching for surveyor software mostly finds technical tools: on Google Italy the first page of results is CAD, surveying and land registry. FAQ for surveying practices
I already use surveyor software for DOCFA, PREGEO and drawings: does RegiaPro work alongside it?
Yes, you keep preparing technical files in your usual programs. In RegiaPro you upload receipts, filed plans and delivered PDFs to the case, and keep proposals, engagement, payments and invoice for the same owner next to them.
How do I mark that a job came from a notary or an estate agent?
In Settings you create your own sources, for example “Notaries” and “Estate agents”, and pick them on the record. The Report gives you, for each one, the fees received and the profit after case costs.
Where do I write the sheet, parcel and sub-unit numbers?
In the record’s notes, together with the address and year of construction. Extracts and plans are attached as PDFs, so the cadastral data sit next to the documents that confirm them, and searching for the owner’s name brings everything back.
How do I update the quote if the site visit changes the case?
You change the amount on the record and prepare a new quote with the extra work written in the note. It gets a new number, and the earlier one stays archived with the figure the client received.
Can I attach DOCFA and PREGEO receipts and council filings?
Yes. On a saved case you upload receipts, plans, building permits and signed authorisations, as PDF, Word, JPG or PNG, up to 15 MB each. They stay on the case, ready to print for the notary or email to the owner.
How do I prepare the engagement letter for signing?
On the Pro plan you set your practice’s title and clauses just once. For each case RegiaPro fills in owner, tax code, date, fee and number, plus the work you noted; then you print it and have it signed.
Can the same owner have more than one case?
Yes, each case has its own record and the billing details link to all of them. Searching by name, phone or email brings up that client’s records, including archived ones from previous years.
How do I get started with cases already open?
Create a record for each case in progress, with the date that matters, the documents collected and what the client has already paid. Past clients you add when they come back with a new case.
Can I use it during a site visit?
Yes, RegiaPro opens in the browser on your phone too. On site you reread the notes with the cadastral data, and attach photos of the existing state to the case record straight away.
