The photos your guests took, without asking anyone for them
You print a little square to scan and put it on the tables. Guests scan it with their phone and send their photos: with no app to download and no sign-up. You look at them one by one, and the ones you approve land in the couple’s gallery.
Your guests’ photos never turn up.
At every wedding two hundred people photograph all day long. Those photographs exist, and nobody sees them: they stay in WhatsApp groups, squashed to a tenth of their size, and three months later they are gone. The couple asks you whether you have them. You do not, and you cannot go and ask two hundred phones.
- In the WhatsApp group they arrive ruined, and get lost among the messages.
- Nobody downloads an app in the middle of a party.
- A shared folder means handing everyone the key to everything.
- And if someone sends an unsuitable photo, it is you who looks bad.
Why it sits inside the gallery, and is not a separate module
Live Moments is not bought separately and costs nothing extra: it is part of RegiaPro Gallery. Every delivery gallery can open its own collection, with its own square and its own rules. Guest photos are kept apart from yours — they do not go into your folders, they do not eat the space your work needs, and you can bin them all without touching a single one of your shots.
Three steps, and you never have to ask anyone for anything
Your part is over before the party starts. During the wedding you touch nothing.
- 1
Switch the collection on
Inside the wedding gallery there is a «Guests» tab. You switch it on with one button: it is born off, and until you switch it on there is no public address at all. You choose the title guests will see, whether to accept video too, and — if you want — a short code to get in and from what time to what time the collection is open.
- 2
Print the little square
RegiaPro prepares the sheet for you, already made: six designs, from an A4 poster to a table card to a pocket card, with your logo, your colours and your typeface. You print it and put it wherever you like: on the tables, on the seating plan, at the bottom of the menu. The address is short and can even be typed by hand.

The photos come in by themselves
Guests scan and send. In your RegiaPro the number on the bell goes up: that tells you there is something new to look at. You approve or bin them from the computer, calmly, even the next day.
What the guest sees: one page, and that is all
They scan and a page opens on their phone, dressed like the wedding gallery. There is nothing to install, nothing to create, no password to invent. They pick the photos from their camera roll and send them.
- No app and no sign-up. It opens in the browser their phone already has.
- Photos are shrunk on the phone before they leave: 2,560 pixels on the long side. That way they get through even on the venue’s network, which at a wedding is always jammed.
- And now videos too, not just photos: they are shrunk on the phone to 1080p, what WhatsApp sends. A real 61 MB iPhone video leaves at 29. If the phone cannot manage it, the original goes and the page says so: a video is never turned away.
- You can see how far along it is, photo by photo, as a percentage.
- If the network drops, it picks up where it was. The upload goes in pieces: when the signal comes back it re-sends only the missing pieces, and the same photo never goes in twice.
- They write their own name, like on the back of a photograph. It is not an account and proves nothing: if they do not want to write it, they do not.
One thing to know before you switch it on
The photos are sent by guests, who have signed nothing with you. You accept the terms once, with the photo statement in the settings, and from then on collections open with one click. RegiaPro still records on each collection when it was opened and under which text: if in two years’ time someone asks who opened that collection, there is an answer. Consent from the people in the pictures remains something to handle in the contract with the couple.
Three roads, and you choose
It is the only switch that really matters, and RegiaPro starts from the careful one.
I look at them first
The starting pointPhotos arrive and nobody sees them but you. You scroll through them on the computer and decide one by one. It is the choice the collection is born with, and that is deliberate: on a page anyone can open, the first unsuitable photo appearing by itself in a wedding gallery would be damage to you, in front of your client.
They show up straight away
You switch it onPhotos appear as soon as they arrive. And with this choice the wall comes on: on the same guest page the photographs build up as they come in, and everyone sees them, without reloading anything. It is the party watched while it happens. If something goes wrong, put «I look at them first» back on: the wall closes for everyone at the same instant, and nothing is lost — the photos stay approved, and switching it back on brings them all back where they were.
They show up straight away, and it watches the words
You switch it onPhotos appear as soon as they arrive, exactly as in the road next to this one: what changes is the written messages. First they go through a list of words nobody wants to read — and that runs inside RegiaPro, asking nothing of anyone — and then through a check that also looks at tone, the unkind line written without a single swear word. What passes is seen straight away; what does not convince stays for you to look at, and never disappears. You can always turn it around: approve what was set aside, and set aside what had gone through. It exists because while you are photographing you cannot sit and watch the comments.
There is no download button on the wall
And it is not hidden: it does not exist at all. Looking at the photos of a party while it happens is one thing; carrying someone else’s wedding home on your phone is another. The same goes for your photographs, which never appear on the guest page: the guest collection does not even know they exist. Only photographs go on the wall: video stays in your moderation queue.
The guest book, without the book
From the same page a guest can leave the couple a couple of lines. No need for the notebook on the table by the door, which half the guests never see and which somebody then has to copy out. Messages go through the same approval as the photos: they are born waiting to be looked at, you read them, and the ones you approve reach the couple in their gallery.
- Two hundred and fifty characters: a real message, not an essay.
- Moderated like the photos, with the same buttons.
- If you do not want any, you approve none, and nobody reads them.
Where they end up, in the end
The photos you approve appear in the gallery you delivered to the couple, in a section of their own called «Guests», kept apart from your work. The couple look at them alongside yours without mistaking them for yours, and the approved messages sit underneath.
- They are in a section of their own: nobody mistakes a phone snap for a shot of yours.
- You can remove them all at once without touching a single one of yours.
- The space is counted separately: a wedding with two hundred generous guests will not block the upload of the real work.
The real numbers, written down first
These are the limits the collection is born with. You find them here and not at the bottom of a document, because halfway through a wedding is too late to discover them.

| Space for one collectiona hundred guests with ten photos each make a gigabyte and a half | 5 GB |

Questions people ask us
Does a guest have to download anything?
No, and they do not have to sign up either. They scan the little square and a page opens in the browser their phone already has. That is why it works: every extra step loses half the guests, and the older ones go first.
Can anyone with the link upload?
Yes, if you set nothing — and that is deliberate: you do not hand out passwords at a wedding. If you want to, though, set a short code to get in and print it on the card, and you can also say from what time to what time the collection accepts photos. Outside that window the page says it is closed. And in any case you switch the collection off whenever you like, with one button.
What if someone sends a photo that is not right?
With the starting choice — «I look at them first» — nobody sees it but you: you bin it and that is that. If you had switched on «they show up straight away», put moderation back on and the wall closes for everyone at that moment, then remove that photo calmly. The control is always yours: RegiaPro does not look at the photos for you and does not decide anything on its own.
Can guests download each other’s photos?
No. On the guest page there is no download button and no bundle: each person sees back only what they sent, and on the wall the photos are there to look at, full stop. Your photographs never appear on that page.
Do guest photos get mixed in with my work?
Never. They live in a place of their own, they count against a space of their own, and in the couple’s gallery they appear in a section called «Guests». Deleting them all cannot touch your shots: the request that bins them does not even know your photos exist.
Do I get an email when a photo arrives?
No, and that is not an oversight: during a wedding it would be hundreds of emails. What you do get is the number on the bell inside RegiaPro, telling you how many photos and messages are waiting to be looked at, and it drops as soon as you approve. You look at it when it suits you.
Do you give me printable cards?
RegiaPro gives you the ready-made sheets, set and ready to print: six designs, from the A4 poster to the table card. You download the PDF and take it to the printer, or print it yourself. If you prefer your own card, you can also download just the code to scan, as an image.
Which plans is it in?
From the Full plan up, and during the fourteen-day trial. It is not included on Start or on Pro. It is not charged separately: it is part of RegiaPro Gallery, and those who have it add nothing to the bill. What changes then from one plan to the next is how many galleries you can keep switched on at once — and every switched-on gallery can have its own collection.
