Three types of software for window sellers
On 14 September 2026 we searched for window installer software with quotes: at the top were quoting tools that calculate prices from manufacturers’ price lists and business systems that also handle orders, stock and production. None of the three pages we opened showed a price; all of them offered a demo or a trial.

Window installer and showroom: the CRM for visits and quotes
A client who walks into the showroom for windows comes back, if all goes well, three weeks later. In RegiaPro’s CRM none of these journeys is left halfway.
Logging who comes into the showroom
The couple looking at the uPVC samples leave a phone number: you open the record at the counter, with name, contact details and how they heard of you, from a leaflet to word of mouth.

Replacing the windows in a flat: three visits from survey to fitting
A window installer’s most typical job, told through the three times you go into the client’s home. Davide, Irene, the dates and the amounts are an invented example.

First visit, 5 October: surveying eight openings
Davide and Irene have bought a 1980s flat with seven windows and a French window to replace. They got in touch after seeing the windows you fitted for his brother-in-law. At the flat you measure every opening, check roller shutter boxes and sills, and decide where fly screens are needed. In the evening you open the record with “word of mouth” as the source, note the measurements room by room and attach photos of the old windows and the survey sheet. From the town, RegiaPro works out what each trip there costs you, once your firm’s Google Maps key is entered: with three visits and two days of fitting, a figure worth keeping in mind.

On 8 October you enter €9,600 and generate the quote for the white uPVC version: in the note you list the eight openings with their measurements, low-E glass, tilt-and-turn hardware, subframes, removal and disposal of the old windows, installation and two pleated fly screens. Then you change the amount to €13,900 and generate the wood and aluminium version. The two PDFs go out by email and the record moves to quote sent.

On 11 October the record comes back among the clients to follow up, and you wait. On 15 October it reappears: this time you send one of your WhatsApp texts and Irene replies that they’d like to see the colours in person. The record moves to negotiating, with the follow-up on 22 October.

Second visit, 23 October: anthracite grey and signing
Davide and Irene drop into the showroom and choose uPVC in anthracite grey outside. The amount rises to €10,100 and you generate the final version of the quote. Then, from Pro, you fill in the contract from the showroom template: in the text you’ve written that manufacturing starts once measurements are confirmed, that the colour can’t be changed after signing, and how many days delivery takes. RegiaPro fills in name, town, fitting date, total, deposit and balance. They sign, and on 26 October a €4,040 bank transfer arrives: you mark it as the deposit, confirm the job and set the fitting for 14 December, from 8am to 6pm.

The weeks while the supplier makes the windows
In the important note you write “confirm delivery with the supplier and order the trims”. On 7 December, a week before fitting, it’s there among your tasks. Meanwhile the record sits there with measurements, photos, quotes and contract, if Irene rings to ask how things are going.

Fitted by two people. On the record you note the fitter who helped you, €700, and under out-of-pocket costs the supplier’s windows, €5,300, with a note. When fitting is done you attach photos of the new windows. Irene pays the €6,060 balance by bank transfer on 16 December: you record it, and the record has nothing left to collect.

How to measure windows and where to keep the measurements
A one-centimetre error in the survey costs you a remade window. The method is yours; RegiaPro makes sure those measurements don’t get lost between survey and order.
One window, one line of notes
In the record’s notes you write the openings one by one, with the room name: width and height of the opening, wall thickness, opening direction, roller shutter box, sill. When you reopen the record a month later, you know straight away which window is meant.

If you measure on paper, you photograph the sheet and attach it to the record as soon as you leave the house. Photos of each window, inside and out, go alongside.
Final measurements to send to production
When the measurements become the ones to send to production, you note it with the date of confirmation. In the contract you start the delivery time from there.
The roller shutter that needs replacing years later
If the client calls for a new fly screen or a roller shutter to replace, you search their name and find the measurements and photos of the whole house.

Window quotes from the business software: every window described in the note
The client compares window quotes from three different firms, and the one they understand best wins. In RegiaPro you prepare a clear document from the home’s record.
The window total, front and centre
The agreed amount sits on the record and is the big figure on the PDF, with the showroom logo. If you charge VAT, RegiaPro works the tax out of the price while keeping the total you quoted.
Openings and work involved
In the note you list openings, measurements, material and colour, glass, hardware, subframes, removal and disposal, fitting. If the client also asked for fly screens or shutters, you add them at the bottom.
uPVC, aluminium and wood versions
uPVC, aluminium, wood and aluminium: one version per material, each with its own number. The client receives them all and you keep exactly what they read.
Quote validity with suppliers’ price lists
In the quote you can state how many days the offer is valid, with a number you set once in Settings: handy when suppliers’ price lists change during the year.
Window installation: contract, delivery times and payments
Weeks go by between signing and fitting, while the client asks questions, worries and perhaps changes their mind. A well-written contract and recorded payments head off half the arguments.
The window supply and installation contract
With Pro you generate it from the home’s record, using the text you prepared once. In it you state when the delivery time starts, what happens if the client changes colour or size after signing, and who handles building work and disposal. Client name, town, fitting date and amounts go in by themselves. It’s printed, signed on paper and stays attached.
The building firm or block of flats that pays for the windows
If a building firm or a block of flats is paying, you link it as the billing party: the documents show the payer’s company name and tax code, while you keep dealing with the person running the job.
Deposit on signing and balance after fitting
Deposit on signing, balance after fitting, or an instalment when materials are delivered: every payment with date and method, and on the record the amount still to come in.
The fitting invoice
On Pro you prepare the fitting invoice straight from its record, numbered after the last one. The XML file for Italy’s SdI system and the year’s package for your accountant come with the Studio plan.
Subcontracted fitters and supplier windows
On the record you note the subcontracted fitter with their cost and the value of the windows bought from the supplier. The “Report” takes these items, and travel, off the month’s takings.

Quotes for fly screens and awnings: the small jobs in the CRM
Fly screens, awnings and roller shutters bring in little per job, but plenty of clients. With a record each, they don’t get lost in the busy seasons.
The awning needed for summer
In May the client wants the awning by June. Record, terrace measurements and photos of the front of the house; quote with fabric, frame and motor in the note; fitting date on the calendar as soon as they confirm.
Fly screens after the windows
People who changed their windows in winter call you back in May for fly screens. You search their name: the measurements are already in the notes, and you send the quote in ten minutes.
Ten awning quotes a month, or unlimited

Software for window installers: frequently asked questions
Where do I write the measurements for all the windows in a house?
In the record’s notes, one opening per line with room, width, height, wall thickness and opening direction. If you measure on paper, attach the photo of the survey sheet. When the client comes back years later, you find it all by searching their name.
Can I send several versions of the quote, by material or colour?
Yes: from the same record you generate one version per material, changing the amount and the note. Each has its own number and stays saved; you send it by email and the client compares them at their leisure.
How do I record the deposit on signing and the balance after fitting?
You record the deposit when it arrives, with the date and payment method. You mark the balance at the end of fitting, split into instalments too if the client asked. The record always shows the amount still to come in.
What goes in the installation contract?
In your template you write the terms that matter for windows and doors: when the delivery time starts, what happens if colour or size changes after signing, building work and disposal. RegiaPro fills in name, town, fitting date, total, deposit and balance.
The subcontracted fitter and the windows bought in: where do I record them?
On the record for that job: the fitter with their fee, and the supplier’s windows under out-of-pocket costs, explained in a few words. In the “Report” both items are taken off the month’s takings.
Can I use it in the showroom and during the survey?
Yes, it opens in the browser on the showroom computer and on your phone. During the survey you upload photos from the room you’re in, and at the counter you find the same record open.
Do fitting dates show on my phone’s calendar?
By connecting Google Calendar or iCloud, every confirmed fitting appears with day and time. If you move it on your phone because the supplier is running late, a few minutes later the date has changed in the record too.
Can I tell whether the showroom brings in more than word of mouth?
Yes, by noting the source on every record: showroom, leaflet, a client’s brother-in-law, website. The “Report” splits jobs, takings and margin by source, and at the end of the year you see where the windows you sold came from.
