IT support contract: one office followed step by step
The support contract is the heart of fixed-fee work. Let’s follow a complete case inside RegiaPro, from the first phone call to the invoice. The practice, the people and the amounts are made up and are only there to show the steps.
The case: Studio Marini and its six workstations
On 8 January Elena Marini calls. She runs a payroll consultancy with six workstations, a multifunction printer and a NAS. The technician who looked after her has stopped, the backups haven’t run for a month, and in February the practice needs to replace two computers.

As the date you put the first job you would propose, Wednesday 3 February; the walk-round at the practice on Wednesday 13 January at 9 am goes in the notes, with the PCs’ operating system, the NAS model, the internet provider and “passwords in the practice’s password manager”. You link the company as the billing party, with VAT number and SDI code.

In the PDF note you list what it covers: monthly backup checks, updates, up to 24 hours of work in the year, a response within four working hours. The two computers are a separate job: you open a second record for the same practice and prepare the €2,100 quote there, so hardware and the support fee have separate numbers and takings.

From the support fee record you generate the contract with your “IT support contract” template: twelve months’ duration, hours included, the rate beyond the threshold, response times, who keeps the passwords. You print the PDF and take it to the practice the next day: Elena signs, and the signed copy, scanned, goes on the record.

On 27 January a €150 bank transfer arrives, the first month: you log it as a deposit and move the record to “Confirmed”. You split the €1,650 balance into eleven instalments of €150, one a month from February to December, each with the day the transfer is expected. The record’s date was already the first scheduled job, Wednesday 3 February: you add the time, 2 pm to 6 pm. With Google Calendar or iCloud linked you see it among your appointments, and if Elena asks to move it you change it from there.

IT support quote: fixed fee, hours included and rates
Anyone receiving an IT support quote wants to understand three things: what they pay, what’s included and what an extra hour costs. In RegiaPro the PDF has a line with the total and a note, printed on the document, where you explain everything else.
The support fee and the workstations covered
Workstations looked after, regular checks, updates, verified backups: written in the note, in words the owner understands without having to ring you.
Hours included and the rate beyond the threshold
How many hours of work the fee includes and the hourly cost beyond that, on site and remote. A rate put in writing avoids arguments in December.
Computers and printers on a separate record
Computers, printers and disks have different margins and timings from the support fee: a separate record for the same client keeps the quote, deposit and payment apart.
Two levels of emergency response times
A basic proposal and one with tighter response times become two quotes on the same record, each with its own number; the owner compares them, and you find both exactly as they were on the day you sent them.
VAT and the flat-rate scheme for IT technicians
If you charge VAT, RegiaPro works it out from the amount, so the agreed figure doesn’t change; under the flat-rate scheme the total stays as it is. The Start plan allows ten quotes a month, while contracts and invoices start from Pro.
Systems support and scheduled jobs: dates, reminders and calendar
An email migration, a firewall swap, a server upgrade: systems support runs on jobs booked in advance, often out of hours. RegiaPro treats them as jobs with a precise date.

When the client confirms, the record moves to “Confirmed” with a day, start time and end time: the job appears on RegiaPro’s calendar and, if you link it, on Google Calendar or iCloud too.

Licences to buy, disks to bring, a full backup to start the day before: the important note becomes a reminder due seven days before the job, or straight away if there are fewer left.

XML and the annual zip for the technician’s accountant

FAQ for self-employed IT technicians
How do I manage a support contract with a monthly fee?
The client record holds the annual amount: you log the first month as a deposit and split the balance into instalments, each with the date of the expected transfer. From the Pro plan, the contract comes out of your template with the figures and company details already filled in.
How do I keep the support fee separate from selling computers and printers?
Open two records for the same client: one for the support contract, one for the hardware. Each has its own quote, deposit and invoice, and when you search for the client you find both records with their payments.
Can I put the included hours and hourly rate in the quote?
Yes, in the quote note: hours of work included, the cost of an extra hour, response times. The note is printed on the PDF below the total line, so the owner reads the terms before signing.
Where do I keep each office’s technical information?
In the record’s notes: operating systems, NAS model, line provider, useful addresses. Network diagrams, supplier contracts and reports you attach as PDFs, Word files or images up to 15 MB. For passwords use the client’s password manager, and in the notes just write where to find them.
How do I make an invoice out to a client company?
You link the company as the record’s billing party, with VAT number, address and SDI code or certified email (PEC): RegiaPro warns you if anything is missing. From the Pro plan you prepare the invoice; from the Studio plan the XML for Italy’s SdI e-invoicing system too.
Can I log the sysadmin colleague who helped me?

Can I see scheduled jobs on my phone?
