Gardener software: business software for people who create, prune and renew gardens
A gardener looking for software usually works alone or with one or two helpers, and has three kinds of work that mix in the same month. RegiaPro keeps them apart, each with its own price and date.
New gardens to build
Ground to prepare, turf or seeded lawn, hedges, trees, irrigation system. These are the biggest jobs of the year: weeks between the first site visit and the last roll laid, and sums that deserve a signed contract.

Olives in February, laurel hedges before summer, tall trees that need a cherry picker or tree climbing. One- or two-day jobs, often far from home, with green waste disposal to include in the price.
Lawns to redo and beds to tidy
A lawn wrecked by moles to redo, a flower bed to redesign, a gravel path to widen. Clients who’ve called you once before and come back when the garden needs a hand.
The thread that holds a gardener’s jobs together
You know your trade. Where you lose time is finding the garden photo you took two weeks ago, remembering which client was waiting for the hedge price, working out who has already given you the deposit to buy the plants. RegiaPro is where these things stay written down.

Building a garden: a client’s five questions, and what you do in RegiaPro
The clearest way to understand the software is to follow a garden from the start. Names, measurements, dates and prices are invented for the example: they show how the work flows, they’re not a price list to copy.
The case: 180 square metres behind a new house
Stefano Moretti has just finished building. Behind the house he has 180 square metres of compacted earth full of building rubble, and he wants a lawn, a hedge along the neighbour’s side, two trees and automatic irrigation before summer. The nursery where you buy your plants gave him your number, and on 3 March he calls you.

First question: “How much will it cost me?”
You create his record with phone, email, town and source “nursery”, and move it to “Negotiating” with a follow-up on 7 March, the day of the site visit. On site you measure, check where the sun falls, the water pressure and the width of the gate for the mini digger. You upload the photos of the ground and the sketch of the zones to the record. On 12 March you enter €4,900 as the amount and send the quote by email: in the note you list ground preparation, turf, four-zone irrigation, a photinia hedge, a maple and an olive tree planted.

Second question: “What if we seed the lawn?”
On 16 March Stefano wants to see the difference. You bring the price down to €4,180 with seeding instead of turf and generate a second quote: new number, while the first stays in the archive with its price. You explain that a seeded lawn can be walked on in June rather than May, and he goes back to turf. On the record you put back €4,900.

Third question: “When do you start?”
On 25 March, with the Pro plan, you print the contract you wrote once with your own terms: plant establishment, watering by the client for the first fifteen days, work suspended in the rain. Name, date, total, deposit and balance are already in it. Stefano signs and leaves €1,500 in cash for the plants: you log it as a deposit and set the job to “Confirmed”, dated 13 April from 7:30. If you’ve connected Google Calendar or iCloud, 13 April shows up on your phone too.

Fourth question: “Who brings the turf and plants?”
You buy them. In the record’s important note you write “order the turf rolls 48 hours ahead”: on 6 April, a week before the job, you find it among your tasks. When the job is finished you log €1,718 under out-of-pocket costs with the note “turf, plants, irrigation materials”, and as collaborator Luca, the day labourer, with €650 for five days.

Fifth question: “Once the garden’s done, what do I pay?”
On 17 April the lawn is down. Stefano pays €2,400 that day and €1,000 at the end of May, after the first mow: two balance instalments, each ticked off as it arrives. With Pro you issue the invoice for the whole garden, addressed to him and numbered in the year’s series. You take the message thanking him and reminding him about watering from your ready-made WhatsApp messages and send it yourself from your phone.

Gardener quotes: from price list to PDF proposal
People searching “gardener quote” want to understand how you go from a garden seen in person to a written figure. In RegiaPro the price list stays yours, and each client’s quote comes from their record.
The gardener’s price list, uploaded once
If you have a PDF price list, with hedge trimming prices per metre or pruning by height, you upload it among your files to attach. From the email page you choose the client, attach the price list, reread the text and send: the message stays in that person’s history.
The garden price and the breakdown of plants and lawn
On the record you enter the agreed price. The quote comes out with your logo, the year’s number and the text of your template; you write the breakdown in the note, which the PDF prints under the figure: metres of hedge, height of potted plants, irrigation zones, green waste disposal. If you’re on the standard VAT scheme, VAT is separated out from the agreed amount.
Garden photos next to the price
The site visit photos and the zone drawing stay attached to the record. When the client calls back ten days later asking “was the hedge included?”, you open the record and have the garden, the price and the items you sent right in front of you.
Several proposals for the same garden
Seeded lawn or turf, young olive or mature tree: each option is a quote with its own number, generated from the same record. Earlier versions stay available, so you always know what price you proposed and on what day.

Spring enquiries for lawns and hedges, one under the other
In the job list you see who has written to you, what stage they’re at, the price and the town; you search by name or phone. Every client has their source: the nursery, word of mouth from a neighbour, the website, the signs on your van. In the Report you find out which of these brings the best-paid jobs.
Who’s waiting for the hedge price
Once the quote is sent, the record pops back up among the clients to contact after three, seven, fourteen and thirty days. From “Tasks” you open WhatsApp with the message ready, send it yourself, then tap “Done, I wrote” to move on to the next follow-up, or “They replied” when the client has been in touch.
In the morning, before hitching the trailer
The Dashboard shows you the day’s jobs and, if you’ve worked out the travel (you need your own Google Maps key), what time to leave to arrive on time. Below is the list of clients to contact.
The client who messages at night about a hedge
The ten o’clock WhatsApp message, “I need my hedge sorting”, becomes a record while you’re still on the sofa: name, contact, town and two lines in the notes. In the morning you find it in the list and, from the record, send the introduction text you’ve already prepared to book the site visit.

Tree pruning and felling: short jobs, each with its own record
Searches for pruning prices and tree felling costs come from homeowners who want a number before calling. For you they’re short jobs, often far away, with costs you only see at the end of the day.
A record even for one day of pruning
Pruning three lime trees in a block of flats’ courtyard or felling a dangerous pine takes a few hours, but it has a price, a date and a payment. With their own record they go into the calendar, the follow-ups and the Report just like the big jobs.
Cherry picker, chipper and disposal
Hiring the cherry picker and disposing of the brash are costs of that job: you log them under out-of-pocket costs, with a note to remind you what they were. Mower, chainsaw and van go under overheads instead, on the Costs page broken down by category.
The drive with the trailer to the client’s village
If the job is forty kilometres away, you enter the town on the record and tap “Calculate”: with a Google Maps key entered in “Settings”, RegiaPro estimates the return trip, fuel, tolls and time spent driving, at the rates you chose in “Settings”.
Three tree jobs worth tracking
- pruning the olive trees at a farm stay, paid per tree, with before and after photos;
- a felling with a stump to grind, where the client asks for the invoice in their company’s name;
- making safe a branch broken by the wind, booked for the day after the call.
What a gardener costs the client, and what you keep
“How much does a gardener cost” is one of the questions clients ask Google before calling you. You set the price; RegiaPro shows you the other side, meaning what’s left after plants, workers and mileage.
The deposit to buy the plants
On new gardens the deposit pays the nursery. You log one per job, with date and payment method, and the record shows you straight away what’s still owed.
The rest of the garden in instalments
End of works, first mow, thirty days later: you split the balance as agreed and log each instalment as it comes in. The Report counts as received only what you’ve marked as paid, so your month-end figures match your bank account.
The property manager’s courtyard and the farm company’s garden
The courtyard is run by the property manager, the farm stay’s garden belongs to the farming company. On the record, in the “Who you invoice” box, you link the payer’s details: company name, address, VAT number or tax code, SDI code or certified email (PEC). With the Pro plan the invoice starts from there, with numbering that restarts in January; with Studio you also prepare the XML for Italy’s SdI e-invoicing system.
The gardener’s end-of-season Report
The Report brings together payments received, workers, travel, out-of-pocket job costs and business overheads, month by month. You see whether new gardens pay better than pruning and which month left you the most.

Gardeners’ FAQ about RegiaPro
How do I put plants, lawn and irrigation in the quote?
Enter the total you agreed on the record and, in the quote note, the items one per line: square metres of lawn, metres of hedge, irrigation zones, plants with pot size. The PDF prints the note under the figure, and the client sees what’s included.
Can I send my price list to clients?
Yes. You upload the price list just once in the Files to attach section; when you write to a client from Send Email you select it as an attachment and send. The message with the attachment stays logged in that client’s history, so you know who you’ve already sent it to.
I buy the plants myself: where do I log them?
On the job record, under out-of-pocket costs, with a short note such as “plants and turf rolls”. The Report takes that figure off the garden’s takings, and in the end you see the real margin instead of just the total invoiced.
How do I keep track of the day labourer?
On each job’s record you enter his name and what you paid him for that garden. The Report adds up these costs month by month, and tells you how much you spent on outside help during the season.
The client wants to pay in instalments: how do I log it?
You log the deposit with date and method, then split the rest into the instalments you agreed and log them one at a time. On the record you always see what’s left, and in the job list you can tell at a glance who has paid in full and who hasn’t.
How do I find a client from last year?
In the job list choose the year and type the name or number in the search box: you find the 2025 hedge record, with photos, price and notes. For the 2026 lawn you open a new record and note what you did last time.
Do I need to install anything on my phone?
No: it opens in the browser, on your phone in the garden as on your computer at home. With Google Calendar or iCloud connected, you also find confirmed jobs in the calendar you already use, and if you move a day because of rain the date updates in RegiaPro a few minutes later.
Where do I start in March, when everything comes at once?
With this week’s enquiries: one record each, with the site visit day as the follow-up date. Then the jobs already confirmed, with date and deposit. People who called you in past seasons you add on the day they get back in touch.
