    CRM for picture framers: clients’ artworks in the shop, each with its name

    In a frame shop the CRM calls back people who asked for a price and, above all, tells you shelf by shelf whose each item is and how far along it is. Picture the back room split into four shelves.

    When the client leaves the painting, you open their record: name, phone, how they heard of you, and a photo of the artwork taken at the counter in front of them, with the scratches and marks it already has. If the painting is valuable, in the notes you write the size, technique and how it was handed in.

    Here are the artworks with the price accepted and the deposit logged. You move the record to “Confirmed” and the promised day is added by itself to the shop’s Google Calendar or iCloud: you can see delivery week on your phone even on a Sunday evening.

    Bespoke picture frames in the software: twelve photographs for an exhibition

    We follow this job like a countdown to an opening. Names, dates, sizes and amounts are made up for the example: they don’t come from any frame shop’s price list.

    1. Thirty days before: the enquiry

      On 14 October Marta, a photographer, comes into the shop with a portfolio: twelve 50 × 70 prints for an exhibition in a library, opening on 15 November. You open her record with the source “gallery”. As the date you put 13 November, the day the frames need to be hung. In the notes: twelve fine art prints on cotton paper, a 3 cm black wooden frame, an 8 cm white mount, hangers for the library’s rail system.

    2. Twenty-seven days before: two quotes

      Marta asks for the price with standard glass and with anti-reflective glass. On the record you put €1,180 and generate the first quote, then change the amount to €1,380 and generate a second: RegiaPro gives the two documents different numbers and keeps both. In the note of each you describe the moulding, mount, glass, acid-free card backing and hanging included. The PDFs go out by email with the frame shop’s logo.

      Marta chooses anti-reflective and the amount goes back to €1,380. The cultural association organising the exhibition will pay: in “Who to make documents out to” you enter the association’s name, tax code and address, while the quote and contract stay in Marta’s name.

    4. Twenty-three days before: the contract and the deposit

      With the Pro plan the contract comes out of the shop’s template, which you called “Framing order”: it says the prints stay in the shop’s care until hanging, that the mount sizes are the ones approved and that the hanging happens on the set day. RegiaPro fills in Marta’s details, the date and the figures. Marta signs, the association pays €400 by bank transfer: you log it as a deposit and the record moves to “Confirmed”.

    5. Three weeks of mouldings, glass and mounts

      Mouldings, glass and mounts for twelve pieces cost €520: they go under the record’s out-of-pocket costs with the note “materials for Marta’s exhibition”. To hang the frames you get help from a collaborator, €80, whom you log by name. The library is in another town: from the address on the record RegiaPro works out €18 of travel for the round trip.

    6. Seven days before: the reminder

      In the important note you had written “check the library’s access times for the hanging”. On 6 November the reminder appears among your tasks, and you send Marta the message to confirm the time.

      On 13 November the twelve frames are hung. The association pays the €980 balance, and from the Pro plan the €1,380 invoice goes to the association, with the number following the last one the shop issued this year.

    How much it costs to frame a picture: the price given at the counter, written in a PDF

    Almost every client asks what a bespoke frame costs while holding the corner sample against the picture. You work out the figure from your price list and your experience; RegiaPro puts it in writing, so the client finds the same figure at collection.

    The price goes on the job record; the quote note says what makes it up: moulding code and width, mount colour and width, type of glass, backing, hanger. The client has a PDF with the total and the description.

    If the client is torn between natural wood, a lacquered finish and a gilt one, for each moulding you change the amount and generate a quote. The three documents stay on file, each with its own number and figure.

    People who ask for a frame price with a photo

    A photo arrives on WhatsApp saying “how much?”. The reply with guide prices by size you keep among your ready texts, and send it from the record you’ve just created for that client.

    With VAT, RegiaPro works it out from the amount given at the counter and the printed total doesn’t change. Anyone on the flat-rate scheme gets documents without VAT.

    Mounts and anti-reflective glass for pictures: the details not to get wrong

    These are the choices the client makes in a few minutes at the counter and remembers perfectly at collection. It pays to keep them written down in exact words.

    Mount colour, thickness and window

    Board colour and code, thickness, width of the sides and of the bottom margin if it’s deeper, single or double window, any fillet. All in the record’s notes, with the photo of the corner sample among the attachments.

    Standard glass, anti-reflective or acrylic

    Standard, anti-reflective, UV-protective, acrylic for large sizes or for shipping. The type of glass also goes in the quote note, because it’s the item that changes the price most.

    Acid-free card, taped sealing, wire or ring hanger, a stand for free-standing frames. Small details that save you a call from the client a week later.

    Framing jigsaws, shirts and keepsakes, and restoring antique frames

    Not everything that comes into a frame shop is a painting. The most unusual objects are often the ones the client cares about most, and they need a bit of extra care.

    The thousand-piece jigsaw

    It arrives in a box or already stuck on card. You attach a photo of how it arrived to the record; in the notes you write whether it needs gluing, whether pieces are missing and what backing you’ll fix it to.

    It’s framed in a deep display case, with a fabric background and the signatures clearly visible. In the notes: size, position of the sleeves, background colour; in the contract, from the Pro plan, you can add a sentence about the item handed in.

    Before you touch it, photos of every side. If when you open it you find more damage than expected, you generate a new quote with the updated figure: the original one stays on file and the client sees the difference.

    An old photograph, a letter, a medal. In the notes you write what you’ve been entrusted with; if a paper or photo restorer works on that piece for you, their cost goes on the record as a collaborator.

    Searching for “picture framer software” and “frame shop software” on 14 September 2026 we opened the most relevant results. There are only a few programs: one that calculates the frame and prepares order forms, business software for people selling made-to-size products, the launch page of a newly released framer’s program, plus a few articles from some years ago. None of the pages we read talked about clients’ artworks held in the shop or about follow-ups.

    A client leaves a valuable painting: how do I record the state it was in?

    You create their record at the counter and attach photos of the artwork straight away, front and back, with the marks it already has. In the notes you write the size, technique and condition. When the client comes back to collect it, the photos are there and any doubt is settled by looking at them together.

    Can I prepare a quote for each moulding I suggest?

    Yes. For each moulding you change the amount on the record and generate a quote, with moulding, mount and glass written in the note. The quotes for the different mouldings stay on file, numbered one after the other; when the client chooses, you put that option’s price back on the record.

    How do I see the finished frames nobody has collected?

    They’re the confirmed records with the balance still to be paid. On each one you see what’s still owed, and the Report gives you the total to collect for the whole shop. From each record you can open WhatsApp with the collection notice already written.

    An exhibition with twelve works: one record or twelve?

    A single record for the whole job, with the agreed total and the twelve works described in the quote note. If you need photos of each print, you attach them all to the same record, and the date is the hanging date.

    The invoice goes to an association or a shop: is that possible?

    Yes: the “Who to make documents out to” section takes the paying party’s details: an association with its tax code, or a shop or hotel, for which you need the VAT number and recipient code, or the certified email (PEC) instead. The person who brought you the works stays the named party on the quote and contract.

    How do I let the client know the frame is ready?

    You write the collection notice once among your WhatsApp texts, perhaps with the shop’s opening hours. Then, for each finished frame, you open it from the record with the name already filled in and send it yourself.

    How do I reply to someone asking for a price with a photo?

    You create the record with their name and number, attach the photo they sent you and reply with the guide-price message you saved among your texts. If they then come into the shop, you prepare the real quote from the same record.

    Can I use it at the counter and away from the shop?

    RegiaPro works in the browser, so on the counter computer and on your phone. With Google Calendar or iCloud linked, deliveries for confirmed jobs also show up in your phone’s calendar.
